This role is predominantly focused on providing personal support and family matters to the Chairman and his family members (approximately 80% personal matters). It is not a corporate secretarial role. Candidates with strong experience supporting individuals and families in personal capacities (rather than purely corporate environments) are strongly encouraged to apply.

  1. Provide comprehensive personal secretarial and administrative support to the Chairman and his family or extended family members.

ii) Proactively manage the Chairman’s and family members’ personal calendars, including appointments, dining arrangements, flight schedules and meetings.

iii) Arrange and coordinate travel logistics, including commercials flights and private jet requirements, hotel, visa, ground transport, dining arrangements, and related documentations. Prepare detailed travel itineraries and manage last-minute changes with discretion and composure.

iv) Facilitate meetings and personal engagements as required, including coordination, reminders, equipment set-up, note-taking, and catering arrangements when necessary.
  1. Primary point of contact for the Chairman and family members, liaising with internal and external stakeholders on personal matters.

vi) Provide personal and business administrative support, including the preparation of documents, reports, and presentations; manage filing systems; and prepare meeting agendas and record minutes during meetings.

vii) Travel overseas with the Chairman or Chairman’s family members when required to provide on-site personal and administrative support.

viii) Handle sensitive company and personal information with the highest level of confidentiality, safeguarding privacy and maintain professionalism at all times.

ix) Process and manage personal expense claims for Chairman and family members.
  1. Handle personal purchases, including online procurement of items as requested by the Chairman and family.

xi) Proactively anticipate potential issues before they arise, flag risks or missing information to the Chairman, and suggest more effective ways to organize and manage matters.

xii) Coordinate with drivers for transport requests for the Chairman and family or when required.

xiii) Coordinate with overseas PAs as and when required.

xiv) Any other ad-hoc duties assigned.

Pre-Requisites
  1. Diploma in Business Administration or related disciplines.

ii) At least 5 years of relevant experience in personal support role, private office, or similar capacity. (Candidate with purely corporate EA background will not be suitable)

iii) Excellent communication skills (both written and oral).

iv) Strong team player with excellent interpersonal skills.
  1. Pro-active, versatile, and highly independent with a positive working attitude.

vi) Able to travel overseas when required, and with more than 50% of work conducted outside office environment.

vii) Ex-cabin crew experience will be a strong advantage, given the travel and service-oriented nature of the role.

viii) Able to start work immediately will be an advantage.

ix) Experience in supporting C-suite or ultra-high-net-worth individuals in a personal capacity is preferred.
