Job Summary

We are seeking a responsible and organized Administrative Assistant to support daily office and operational activities, manage foreign worker matters, coordinate subcontractors, and maintain accurate records of work orders and invoicing.

Responsibilities
  • Respond professionally to emails and manage general correspondence to ensure clear communication
  • Answer and manage incoming phone calls to support office operations
  • Apply for foreign workers through the MOM portal to comply with regulatory requirements
  • Issue work orders to subcontractors and follow up on progress to ensure timely completion
  • Prepare and manage invoicing to support financial accuracy and record keeping
  • Perform data entry and maintain accurate records in Excel for tracking and reporting
  • Track active work orders, assigned subcontractors, and work status to monitor project progress
  • Monitor work order amounts, payment details, and historical records to ensure financial control
  • Maintain organized documentation and filing systems to support efficient information retrieval
  • Support general administrative and operational tasks as assigned to assist team functions
Preferred competencies and qualifications
  • Prior experience in administration, operations, or coordination roles preferred however fresh graduates are still welcomed to apply
  • Familiarity with MOM portal applications and procedures is an advantage
  • Proficiency in Microsoft Excel, Word, and email communication
  • Good organizational and multitasking skills
  • Strong communication and interpersonal abilities
  • Ability to work independently and meet deadlines
  • Attention to detail and accuracy in data entry and record keeping
  • Responsible, proactive, and willing to learn
