About the role
As a Workplace Ambassador with JLL's Work Dynamics team, you'll be the welcoming face and first point of contact for a prestigious APAC headquarters environment. This role goes beyond traditional reception—you'll deliver a premium, hospitality-driven experience for VIPs, senior executives, employees, and visitors alike.Your professionalism, warm demeanor, and attention to detail will set the tone for an exceptional workplace experience every single day. You'll combine front-of-house excellence with hands-on administrative and facilities coordination support, ensuring seamless operations and a polished, professional environment.
Key responsibilities- Deliver exceptional reception and visitor experience: Greet and assist all visitors, employees, and VIPs with a professional and hospitable approach; escort guests to meeting rooms and ensure they feel welcomed and valued from the moment they arrive
- Manage front desk operations: Answer and screen incoming calls, maintain reception desk coverage throughout the day, and respond promptly to general enquiries with professionalism and care
- Coordinate meeting room bookings and setup: Manage meeting room and flex office reservations, set up AV and audio equipment according to user requirements, and ensure all equipment is tested and in working condition before meetings commence
- Handle mail, parcels, and badge management: Oversee incoming and outgoing mail/parcel deliveries, internal distribution, creation of new hire mail slots, badge issuance and management, and recording of cheques received
- Support facilities coordination and vendor management: Conduct daily checks of reception and lobby areas for cleanliness and equipment functionality, create and manage service request tickets through the platform (Corrigo), coordinate permits to work with vendors, and ensure all safety documentation is submitted for building approval
- Maintain administrative accuracy: Update action trackers, record data in Excel and other systems, manage visitor registration, and ensure all administrative processes are documented and executed with precision
- Proactively resolve issues: Respond to service requests with urgency, coordinate with the security team on access issues, and provide ad-hoc support for on-site projects and feedback to ensure operational excellence
- Minimum 2+ years of experience in corporate reception, front desk, or hospitality environments with a proven track record of delivering exceptional customer service
- Strong interpersonal and communication skills with the ability to interact professionally with VIPs, senior executives, and diverse stakeholders
- Proficiency in Microsoft Office, particularly Excel, for tracking data and maintaining accurate records
- Demonstrated ability to manage difficult customers with grace, professionalism, and a solution-oriented approach
- Presentable appearance and professional demeanor with a hospitality-oriented attitude and attention to detail
- Physically able to escort visitors, show meeting rooms, and perform hands-on administrative and facilities tasks throughout the day
- Ability to work fully on-site in a fast-paced, high-profile corporate environment
