Adecco is partnering with a Technology Multinational Corporation company to search for an Executive Administrative Assistant
The Opportunity- Our client, a leading multinational organization, is seeking a highly experienced Senior Executive Administrative Assistant to support the Vice President, Asia.
- This role requires a mature and professional individual with extensive experience in executive support, calendar and travel management, and high-level stakeholder coordination.
- Minimum 8-10 years of experience supporting senior executives or regional leaders
- Proven track record managing complex calendars across multiple time zones
- Strong experience in international travel coordination, including visa applications and itinerary planning
- Skilled in handling expenses, purchase orders, and internal vendor processes
- Independent, proactive, and detail-oriented with excellent problem-solving skills
- Exceptional interpersonal and communication skills, with the ability to engage senior stakeholders
- Comfortable with modern office tools and systems (e.g., email/calendar platforms, document processing tools)
- Prior experience in fast-paced, regional or multinational work environments
- Flexible with working hours and able to manage urgent or time-sensitive requests
The Job
Executive Calendar Management- Manage and prioritize the VP's calendar, including leadership meetings, internal reviews, and offsites
- Proactively resolve scheduling conflicts and communicate updates in a timely manner
- Organize end-to-end domestic and international travel arrangements (flights, accommodation, transportation)
- Handle travel documentation including visa applications and passport renewals
- Track and submit travel-related expenses
- Prepare and reconcile monthly expense reports
- Ensure accuracy in expense coding and adherence to internal cost allocations
- Raise and manage purchase orders, track receipt of goods/services, and oversee invoice approvals
- Ensure alignment with internal procurement policies
- Coordinate onboarding logistics for new team members (equipment, access, workspace setup)
- Support offboarding processes, including equipment returns and systems access removal
- Plan and execute logistics for team offsites, internal workshops, and external meetings
- Collaborate with vendors and venue sourcing teams as needed
- Maintain team org charts and distribution lists
- Manage shared calendars and coordinate recurring leadership meetings
- Provide administrative support to the broader Asia team when required
