Job Summary

The Operations Manager & EA to General Manager drives operational excellence and administrative support to enhance daily business efficiency and growth. This role leads facilities, logistics, HR, vendor management, and executive assistance to ensure seamless operations.

Responsibilities
  • Establish and maintain operational controls, processes, and reporting systems to optimize business performance
  • Lead planning, budgeting, resource allocation, and monitor progress against operational goals
  • Review and improve operational policies and efficiency measures to enhance workflows
  • Liaise with landlords, vendors, and contractors to manage facility operations, repairs, and maintenance within budget and quality standards
  • Build and sustain strong internal and external working relationships to support operational needs
  • Manage warehouse operations, ensuring stock accuracy and efficient import/export logistics
  • Implement process improvements to maximize warehouse and logistics efficiency
  • Coordinate IT maintenance, troubleshooting, and software updates with external vendors to support operational productivity
  • Update product information on CRM, eCommerce platforms, and webpages to maintain accurate digital records
  • Support HR systems, manpower planning, and administrative procedures to ensure smooth office operations
  • Manage office and service administration to maintain an organized work environment
  • Execute project plans for marketing events, managing budget, manpower, and logistics
  • Oversee event flow, scripts, stage management, and guest experience to ensure successful event delivery
  • Act as central coordinator for marketing initiatives, aligning internal teams and external vendors
  • Prepare monthly marketing and sell-through reports detailing activities, spending, and outcomes
  • Consolidate quarterly marketing reports for Asia Pacific headquarters to track regional performance
  • Track KPIs related to brand visibility, events, partnerships, and campaign performance across marketing and social media agencies
  • Manage daily schedules, calendars, meetings, and appointments for the General Manager to optimize time management
  • Handle travel bookings, hotel accommodations, and visa applications to facilitate business travel
  • Prepare meeting documents and coordinate business activities for smooth executive operations
  • Manage relationships with Steinway Artists, STEP educators, studios, cultural institutions, corporate partners, and high-net-worth clientele
  • Draft formal invitation letters, e-newsletters, and speeches to support communication efforts
  • Prepare business reports and presentations to inform decision-making
  • Communicate effectively with internal departments and external stakeholders to ensure timely resolution of operational matters
  • Perform additional tasks or special assignments as directed by the General Manager
