The Senior Executive / Assistant Manager will oversee the administrative, operational, and logistical management of Learning & Outreach programmes, Wellbeing and Early Years. This includes planning, scheduling, procurement, vendor management, and stakeholder coordination.
At the same time, the role requires a keen interest in the intersection of visual art and mental wellbeing, with a sensitivity to the challenges faced by children and youths. The individual will ensure that the practical running of programmes reflects the Gallery's commitment to using art as a resource for wellbeing and resilience.

The Senior Executive / Assistant Manager will also support administrative, procurement, Learning programmes and resources for Early Years.

The Senior Executive / Assistant Manager will grow partnerships with institutions, schools and communities to attract the non-traditional museum-going audiences into the Gallery and retain interest for repeat visitors. This role has a strong collaboration and co-ordination focus, which involves working with internal and external stakeholders to implement meaningful art experiences and encounters for audiences of different demographics in and beyond the Gallery.

KEY RESPONSIBILITIES (but not limited to the below):

  • Manage the administration and operations of the art and wellbeing-related programmes, including but not limited to scheduling, procurement, financial tracking, and reporting.
  • Coordinate logistics for workshops, showcases, and events such as venue booking, vendor liaison, materials, setup, and on-site support.
  • Maintain accurate records of agreements, contracts, budgets, and participant databases.
  • Work closely with internal and external stakeholders like the education facilitators, artists, teachers, publics, healthcare professionals, and government agencies.
  • Provide support for ad hoc tasks and other learning/outreach programmes when required.
  • Provide procurement support to the team, including procuring quotes and approvals, tallying and tracking of PO-related matters for Division's activities and events.
  • Co-ordinate and implement surveys, interviews, evaluation plans to assess the efficacy of Learning & Outreach programmes, and monitor/track the on-going evaluation of the programmes and services and implement improvements as necessary.
  • Support administration, operations, procurement and development of programmes and resources for Early Years.
  • Execute other ad hoc duties to further the goals of the Department where appropriate.
Qualifications
  • At least 3 to 4 years of relevant work experience in education, arts-related, arts-therapy, or counselling portfolio.
  • Keen interest in developing art, museum learning and wellbeing experiences for diverse audiences, including families and schools.
  • Demonstrated experience in coordinating schedules of multiple stakeholders.
  • Demonstrated ability to manage projects effectively and deliver quality outcomes within tight timelines and budgets.
  • Demonstrated skills in managing a range of administrative processes, including issuing and managing schedules, contracts, financials, and logistics.
  • Must possess cultural sensitivity and understanding for diverse stakeholders, including needs of the young audience.
  • A proactive team player who is resourceful, people-oriented, meticulous, hands-on and able to manage multiple projects simultaneously.
  • Possess a positive attitude and strong interpersonal, communication and organisational skills.
  • Proficiency in Microsoft Office Suite and digital scheduling tools.
  • Good command of written and spoken English is essential.
  • Ability to work outside standard business hours, including evenings and weekends, when necessary.
