HR Executive (Maternity Cover)
Job Overview:
To support the operation of HR functions primarily to support the staff for SJII Elementary School & SJII Pre-school, both teaching and non-teaching.
Key Duties and Responsibilities
Contract management and work pass applications- Prepare employment contracts for new staff and renewal contracts for existing staff on overseas contracts and SJII Preschool.
- Administer all pre-employment formalities including work pass applications with Ministry of Manpower, registration with Committee of Private Education(CPE) and Early Childhood Development Agency (ECDA), medical examination, background checks
- Monitor the work pass validity for all work pass holders and is responsible for their renewals
- Support all administrative requirements in compliance with CPE and ECDA
- Administer all contracts for service (Coaches, Temporary staff and interns)
- Post job adverts on the relevant job portals, both local and overseas, including the national Jobs Bank.
- Screen and manage the job applications for non-teaching positions
- Schedule interviews for the shortlisted candidates
- Request for references for final candidates
- Verify and ensure full documentations for on-boarding, including completion of pre-employment formalities
- Update employees’ personnel records, including changes in residential addresses, marital status, bank account details, nationality
- Update the appointed medical insurance firm on staff movements and prepare annual employee listing for medical insurance renewal
- Update the employment contract expiry list, annual increment list, confirmation of service list, work pass expiry list, background checks expiry list
- Administer all staff leave, including medical leave, annual leave, childcare leave, maternity leave, NS leave, course leave and others
- Manage all staff related group insurance matters, including personal accident and medical
- Prepare flight budgets for staff who are eligible
- Administer staff loans for payment of advance rent and security deposit
- Update staff monthly housing allowance for payroll purposes
- Administration of confirmation of service, annual increment, end-of-year performance bonus for staff
- Administration of exit process for leaving staff
Any other duties assigned by Head of HR / Assistant HR Manager
Skills/Requirements/Qualifications- Diploma or above in HR or related field
- Excellent English communication skills, both written and verbal
- Attention to detail
- Experience working in a deadline-driven environment
- Ability to work well alone and as part of a team
- Enthusiastic with a can-do attitude, cultural sensitivity and strong people skills
