Job Summary:
To support the engineering department in managing spare parts inventory includes controlled issuance, purchase requisitions, Capex, payment against proforma invoices and maintenance records in SAP, ensuring compliance with cGMP and company procedures.
Key Responsibilities:
Spare Parts Inventory Management- Assist in maintaining an accurate spare parts database with correct part numbers, descriptions, and stock levels. Manage expiry or shelf-life control.
- Manage spare parts database and ensure availability of critical spares.
- Optimize inventory levels to balance cost and reliability.
- Support regular stock checks and reconciliation with physical inventory.
- Generate purchase requisitions for replenishing critical spares.
- Coordinate with vendors for spare parts delivery timelines.
- Working as a single point of contact for spares with complete control on spares inventory.
- Create, update, and close maintenance work orders in SAP. Create Purchase requisitions, Capex, follow up on payments etc.
- Work as an individual entity to monitor and distinguish the cost and expenses on different services, spares and define the strategy to minimize the cost.
- Enter and maintain equipment master data, spare part codes, and BOMs in SAP.
- Monitor and track maintenance activities and spare part consumption through SAP reports.
- To create and maintain Equipment master BOM for spare part inventory.
- Assist engineers and technicians with spare parts identification during preventive and corrective maintenance.
- Support preparation of maintenance schedules and checklists.
- Maintain documentation of calibration, servicing, and replacement records.
- Ensure all SAP transactions and engineering records comply with cGMP, GDP, and company SOPs.
- Prepare spare part usage reports for audit and review.
- Support change control and deviation documentation related to spare parts.
- Assist on any ah-hoc duties that have been assigned / task by the immediate superior.
Qualifications:
Education: Associate’s diploma in Instrumentation, Electronics, Engineering Technology, or related technical field.
Experience: Diploma or Degree in Mechanical, Electrical, Instrumentation, or Industrial Engineering with 2-3 years of experience. Basic knowledge of MS Excel, Word, and SAP or willingness to learn SAP.
Skills:
Ø Basic understanding of engineering equipment used in pharmaceutical formulation.
Ø Knowledge of ERP systems (SAP preferred) — training will be provided.
Ø Good analytical skills and attention to detail.
Ø Strong communication and coordination skills.
Ø Familiarity with spare parts cataloguing and inventory concepts.
Ø Excellent documentation and problem-solving skills.
