Adecco is partnering with a Technology Multinational Corporation company to search for an Executive Administrative Assistant

The Opportunity
  • Our client, a global technology company, is seeking an experienced Executive Assistant to support the General Manager of the Asia region within the Global Partner Solutions organization.
  • This role involves high-level administrative support, calendar and travel management, and cross-regional coordination.
The Talent
  • Minimum 8 years of Executive Assistant experience supporting senior executives or GMs
  • Strong experience managing complex calendars across multiple time zones
  • Proficient in coordinating international travel, including bookings and visa arrangements
  • Demonstrated ability in managing expenses, purchase orders, and vendor processes
  • Independent, proactive, and highly organized with strong problem-solving skills
  • Excellent interpersonal and communication skills; able to interact confidently with senior leadership and diverse teams
  • Comfortable with office tools such as Outlook and PowerPoint
  • Experience working in fast-paced, multinational or regional environments
  • Flexible with working hours and available for urgent requests as needed

The Job

Executive Calendar Management
  • Manage and prioritize the GM's calendar, including internal/external meetings, all-hands, one-on-ones, and offsites
  • Proactively resolve scheduling conflicts and communicate changes as needed
Travel Management
  • Arrange domestic and international travel (flights, hotels, transport) in line with policy
  • Assist with passport, visa, and travel documentation
  • Submit and track travel-related expenses
Expense Management
  • Prepare and submit timely expense reports
  • Ensure all expenses are charged accurately to cost centers
Purchase Order Management
  • Raise purchase orders, receive goods/services, and manage invoice approvals
  • Ensure compliance with procurement policies and supplier requirements
Onboarding & Offboarding
  • Coordinate onboarding logistics with IT and facilities for new hires
  • Support offboarding process (equipment returns, access removals, etc.)
Event Management
  • Plan and manage logistics for team events, offsites, and workshops
  • Liaise with venue sourcing teams to coordinate external meetings
Other Administrative Tasks
  • Maintain org charts and team distribution lists
  • Manage shared calendars for key leadership meetings
  • Support general administration for the broader Asia team
