Administrative Assistant

Sincere Culinary is seeking a motivated, responsible, and detail-oriented Administrative Assistant to join our dynamic team. The successful candidate will support smooth day-to-day operations by handling invoicing, inventory coordination, and general administrative duties.
Responsibilities- Prepare and process invoices, delivery orders, quotations, purchase orders, and related documents accurately and promptly.
- Liaise with customers, suppliers, and internal departments on invoicing, purchasing, and operational matters.
- Handle administrative coordination and data entry duties.
- Coordinate inventory movements to support smooth operational workflow.
- Ensure all inventory transactions are completed on time and maintain stock accuracy.
- Maintain proper inventory records, stock movements, and traceability documentation.
- Maintain accurate records, reports, and documentation in compliance with company and regulatory requirements.
- Ensure proper filing and documentation for HACCP, halal certification, internal audits, and external audit purposes.
- Handle pest control coordination and maintain related records and documentation.
- Support daily operational and administrative activities as assigned.
- Perform other administrative and operational duties assigned by management.
- Minimum GCE ‘N’ / ‘O’ Level or equivalent qualification.
- Prior experience in invoicing, purchasing, administration, or inventory coordination will be an added advantage.
- Proficient in Microsoft Office applications, particularly Microsoft Excel and Word.
- Good time management skills with the ability to multitask and prioritize assignments effectively in a fast-paced environment.
- Responsible, organized, and able to work independently with minimal supervision.
- Positive working attitude with strong sense of responsibility, initiative, and willingness to take ownership of assigned duties.
- Possess good work ethics and strong attention to detail.
