Overview

As a Facilities Executive, you are to assist the Facilities Manager to manage and coordinate the security schedule and dormitory plan (daily / weekly / monthly) to meet the efficiency expectations and occupancy rates. Drive continuous improvement initiatives through appropriate channels in the operation.

Ensure adherence and compliance to standards, policies & regulations.

Responsibilities
  1. Put up a comprehensive duty schedule for the efficient deployment of security personnel at the various security stations.
  2. Recommend remedial measures and improvements to refine the processes and systems.
  3. Conduct periodic audits and checks on security personnel on duty to ensure they are alert and vigilant at all times.
  4. Carry out any other reasonable security functions as and when requested by the company.
  5. Prepare comprehensive reports pertaining to incidents and occurrences when necessary.
  6. Provide assistance to WSH Officer (FSM) in incident / accident investigation.
  7. Maintain frequent dialogue with the Security Officers to address their work related problems and sustain their morale and work attitude.
  8. Enforce the house rules of the dormitory as promulgated by the Company and set out in the Workers Management Contract.
  9. Handle all operational and maintenance issues required so as to achieve a smooth and efficient operations of the dormitory.
  10. Ensure that only bona-fide workers are resident in the dormitory.
  11. Conduct periodic night checks of the dormitory to ensure a high level of discipline and compliance is adhered by the residents so as to achieve a healthy and cohesive living environment.
  12. Maintain proper documents of all official records which may be subjected to audit checks by the company.
  13. Ensure all the operational requirements are in accordance with the requirements of the various government agencies’ legislation (URA, ICA, MOM, NEA, PUB and SCDF).
  14. Source for comparative vendors / sub-contractors to carry out facility maintenance / repair works.
  15. Resolve complaints, feedback and service requests from customers.
  16. Coordinate with government departments as and when required and ensure that all issues are satisfactorily resolved.
  17. Administer health & safety, legislations and regulatory compliances with various government agencies.
  18. Work closely with Finance department in invoicing matters.
  19. Work closely with WSH Officer (FSM) to conduct Fire Drill and any necessary inspections and audits.
  20. Perform any other duties as assigned by the Management and the designated manager.
Requirements
  1. Diploma / NITEC / GCE ‘A’ or ‘O’ Level.
  2. Minimum 2 years of relevant work experience in dormitory operation is preferred. Those with facilities management will have added advantage.
  3. Possess valid Security Officer license issued by PLRD.
  4. Independent, diligent, patient, tactful and highly motivated with excellent team spirit.
  5. Proficient in Microsoft Word and Excel application.
  6. Good interpersonal skills to communicate with people of all levels.
  7. Required to work on alternate Saturdays, Sundays or Public Holidays.
  8. Retired Home Team / SAF / Former MOM Officers are welcomed.
