ADMIN ASSISTANT (SHIP SUPPLY) – SINGAPOREANS ONLY

About the role

As an Administrative Assistant, you will play a crucial role in supporting the smooth and efficient operations of our organization. This full-time position is based in our Jurong West office, serving as the backbone of our administrative functions.

What you'll be doing
  1. Manage quotation, procurement activities, replenish inventory levels; work with suppliers and internal teams to ensure timely delivery of orders to ship.
  2. Source from suppliers based on competitive cost, quality, delivery performance
  3. Maintain and build relations with new and existing suppliers;
  4. Collaborate with internal stakeholders to identify and prioritize purchasing / supply needs;
  5. Ensure compliance with company policies, procedures and legal requirements;
  6. Assist in audits on procurement related matters;
  7. Prepare, create, check, file the supply documents, for example RFQ, Purchase Orders, Sales Orders, Permits, Return Notes, etc.
  8. Any other ad hoc duties assigned.
What we're looking for
  1. 5.5 days week
  2. Location at Jurong West (near Boon Lay MRT Station)
  3. Ability to multi-task
  4. Time management – tight deadlines and high time pressure. Ocean vessels usually only dock for one to two days, so it's essential that you're able to ensure a quick turnaround time.
