Job Responsibilities
Facilities & Estate Operations- Conduct routine inspections of school buildings, facilities, and grounds; identify defects and follow up on rectification works.
- Coordinate and supervise contractors and vendors for maintenance, repair, and minor improvement works.
- Track and ensure timely completion of preventive and corrective maintenance activities.
- Carry out basic maintenance and minor repair works (e.g. door handles, locks, simple fixtures and fittings).
- Perform first-level troubleshooting for facility-related faults and escalate complex issues to contractors where necessary.
- Maintain proper documentation of building plans, manuals, warranties, and maintenance records.
- Assist in ensuring compliance with regulatory requirements and school operational standards.
- Support the Operations Manager to work with MOE to follow up on sprucing and improvement works to school compound, as required.
- Support implementation of school-wide safety procedures and emergency response plans.
- Perform the role of Assistant Fire Safety Manager, assisting in fire safety compliance and maintenance of fire protection systems.
- Ensure proper maintenance of fire safety equipment and accuracy of evacuation route maps.
- Conduct regular checks on safety equipment, first aid kits, CCTV systems, and alarm systems.
- Assist in organizing emergency drills, safety audits, and inspections.
- Oversee daily security operations, including visitor management, access control, and traffic/parking arrangements.
- Support daily school operations, including classroom readiness and space utilisation.
- Coordinate logistics for school programmes such as arrival/dismissal, assemblies, and events.
- Coordinate event logistics, including vendor setup and on-site support.
- Manage inventory of supplies and equipment.
- Assist in asset management, including procurement, tracking, and maintenance of school furniture and equipment.
- Coordinate permits, inspections, and compliance requirements with relevant authorities (e.g. SCDF, BCA, NEA, SLA).
- Liaise with term contractors, service providers, and school bus operators on operational matters.
- Monitor vendor performance and ensure adherence to service standards, safety requirements, and contract terms.
- Assist in sourcing, procurement, and evaluation of vendors.
- Supervise on-site contractor activities to ensure safety compliance and minimal disruption to school operations.
- Support the Operations Manager in facilities-related projects, including the development of the new campus, as required.
- Supervise and support Operations Support Officers, Security Officer and outsourced vendor (i.e. cleaners and gardeners).
- Provide guidance, coaching, and ensure adherence to operational procedures and safety standards.
- Assist in tracking operations-related budgets and expenditures.
- Maintain records, reports, and documentation related to operations and facilities.
- Participate in school safety committee meeting.
- Perform any other duties as assigned by the Operations Manager.
- Diploma in Facilities Management, Engineering, Workplace Safety & Health, Business Administration, or a related discipline.
- Minimum 3 years of relevant experience in operations, facilities, or estate management, preferably in an educational institution.
- Working knowledge of building maintenance, safety standards, and regulatory compliance.
- Hands-on and able to perform basic maintenance and minor repair works.
- Experience in coordinating vendors and contractors.
- Proficient in Microsoft Office applications.
- Good organisational, coordination, and problem-solving skills.
- Strong interpersonal and communication skills.
- Able to work independently and collaboratively in a multidisciplinary team.
- Passionate about contributing to a special education environment and supporting students with special needs.
