Administrative & Sales Support (50%)
  • Provide comprehensive administrative and sales support to the Service Sales Team, including the preparation of quotations, contracts, reports, presentations, and official correspondence.
  • Organize and manage meeting logistics with internal and external counterparts, including arrangements for travel, visa applications, and site access permits.
  • Prepare meeting agendas, document minutes, and ensure timely tracking and completion of follow-up actions.
  • Maintain and manage accurate document control and retrieval systems to ensure data integrity and compliance with internal standards.
  • Generate purchase orders, manage invoicing through internal platforms (e.g., Intramart), and monitor payment statuses from both customers and suppliers.
  • Coordinate shipping documents such as bills of lading, shipping marks, and ensure compliance with shipping requirements.
  • Support ad-hoc tasks and cross-functional projects related to service sales and material control.
  • Maintain accurate records of customer information, sales activities, and spare parts usage for reporting purposes, including sales forecasting and monthly performance reports.
  • Ensure timely preparation and submission of periodic reports and other relevant documentation.
  • Liaise and coordinate effectively with customers to support various operational and administrative tasks.
Material Controller & Site Coordination (50%)
  • Oversee inventory control and material management of spare parts and components for power plant equipment.
  • Conduct and witness incoming inspections, ensuring proper handling, labeling, and storage of parts at designated warehouses.
  • Coordinate pre-packing activities on-site and prepare necessary logistics and shipping documents in collaboration with internal stakeholders and logistics partners.
  • Expedite parts readiness by coordinating with relevant departments to ensure availability for both scheduled and emergency maintenance events.
  • Support maintenance operations by inspecting disassembled parts for damage or wear, and collaborate with supervisors to initiate corrective measures, including dispatching technical advisors and arranging remedial work.
  • Collaborate with planning teams for maintenance schedules, manpower allocation, tools and consumables preparation, and procedural documentation.
  • Manage site-specific administrative tasks, including transportation logistics, document management, procurement, and contractor coordination.
  • Provide on-site administrative support during planned and unplanned outages or maintenance activities.
  • Remain updated on customer requirements and after-sales support needs, and promptly communicate them to the relevant team members.

Requirements:

  • Proven experience in Material Control, Sales Support, Office Administration, Coordination, or Customer Service roles.
  • Minimum 3 years of relevant working experience in a similar capacity.
  • Possess a Diploma or Degree in Business Administration, Logistics, Supply Chain Management, or a related discipline.
  • Prior experience in the Power Business or Power Plant operations will be an added advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with SAP or other ERP systems is a strong plus.
