Job Description
Purpose of the post
The Healthy Longevity Translational Research Programme (HLTRP) is one of the largest programmes at Yong Loo Lin School of Medicine, National University of Singapore. Supporting a rapidly growing community of faculty and researchers, the Programme requires strong operational and process support to ensure that research activities, collaborations, and strategic initiatives run smoothly and compliantly.
This role supports the programme’s research productivity by strengthening research operations, coordination, and compliance. Embedded within a multidisciplinary research environment, the Research Assistant will contribute to research project tracking, grant and collaboration support, and operational processes that enable high-quality research outcomes.
Working closely with the leadership team, the role bridges research and operations to enhance productivity, ensure compliance with institutional requirements, and support the execution of research activities and partnerships.
Main Duties and Responsibilities
Main duties and responsibilities- Research Operations & Project Support
Support the coordination and tracking of ongoing research projects, including timelines, deliverables, and reporting requirements
Provide operational support for the research core facilities hosted by the programme
Assist in the preparation of research progress reports, presentations, and documentation for internal and external stakeholders
Coordinate communication and logistics for research collaborations, including engagement with local and international partners
Support the organisation of research-related activities such as seminars, workshops, conferences, and strategic meetings- Grant & Research Administration Support
Assist in the preparation and submission of research grant applications, including collation of supporting documents and coordination with stakeholders
Support post-award grant management, including tracking budgets, expenditures, and reporting requirements in compliance with institutional and funding guidelines
Liaise with central administrative units to facilitate procurement, finance, and HR processes
Support audits and reporting processes by maintaining well-organised and traceable documentation- Data, Reporting & Process ImprovementCompile and analyse operational and research-related data to support decision-making and reportingDevelop and improve workflows, templates, and documentation practices to enhance research efficiency and reproducibilitySupport knowledge management and documentation for long-term continuity of the programme operations
- Laboratory Operations & Safety Support
Support the coordination and optimisation of research space utilisation, including planning for equipment placement and shared facilities within TRPMaintain orderly and functional laboratory and shared research spaces, ensuring alignment with institutional guidelines and good research practices
Facilitate day-to-day coordination within the research group and with neighbouring laboratories to support smooth research operations
Support the implementation and adherence to laboratory SOPs, safety guidelines, and regulatory requirements (e.g., M&E, fire safety, and research safety compliance)Assist in maintaining proper documentation for laboratory safety, including onboarding materials, safety records, and audits, in liaison with relevant safety offices
Support the proper tracking, management, and documentation of fixed assets (FA), including research equipment and inventories
Coordinate and support onboarding of new research personnel (staff and students), including lab orientation and familiarisation with research workflows and systems
Provide basic training and guidance on institutional research systems and processes (e.g., IRB, iORC, procurement and grant-related systems)- Undertake other ad hoc duties as assigned
- Bachelor’s or Master’s degree in STEM
- Experience working with or supporting researchers, with an understanding of research workflows and academic environments
- Familiarity with research grant application processes is advantageous
- Strong interest in research operations and programme management
- Detail-oriented with high standards of accuracy and documentation
- Proactive and able to manage multiple workstreams in a dynamic research environment
- Strong organisational and communication skills
- Strong sense of ownership with high level of integrity in handling confidential information
- Comfortable working with guidelines, policies, and institutional frameworks
- Proficient in Microsoft 365 (Outlook, Excel, Word, PowerPoint, Teams) and Zoom
