About the Role: As an Assistant Facilities Manager , you will support the Facilities Management team in overseeing daily operations, maintenance, and technical services across a facility, campus, or building portfolio. Your role focuses on delivering safe, efficient, and compliant facility services, coordinating preventive and reactive maintenance, managing vendors and budgets, and ensuring that building infrastructure operates smoothly in accordance with client and regulatory requirements.

This position is part of the Facilities Management function and involves collaborating with internal teams and external partners to uphold service standards, safety protocols, and long-term asset value.

Key Responsibilities
  1. Team Leadership & Supervision
  • Provide formal supervision and performance management for facilities staff, including training, coaching, and conducting evaluations.
  • Plan daily team schedules, delegate tasks, cross-train staff, and ensure effective execution of responsibilities.
  1. Critical Systems Operations & Change Management
  • Manage and monitor operations in critical environments, including UPS, generators, fire systems, leak detection, etc.
  • Review and manage PPM (Planned Preventive Maintenance) schedules using a 52-week planner.
  • Prepare and lead change request processes, ensuring stakeholder approval for technical room and infrastructure works.
  • Conduct weekly change approval meetings.
  1. Maintenance & Incident Management
  • Ensure timely completion of PPM and reactive work orders within SLA.
  • Manage day-to-day breakdowns and urgent maintenance issues, including after-hours and 24/7 support.
  • Lead incident escalations using ServiceNow (BIR, change/problem tickets) within the required timeframes.
  • Coordinate annual power shutdowns, including MOP and EOP preparation and stakeholder approvals.
  1. Vendor & Budget Management
  • Oversee vendor activities for both preventive and reactive tasks, including procurement, quotation review, and approval processes.
  • Coordinate facility repairs, working closely with technicians and contractors.
  • Manage capital projects and operational budgets, including variance tracking and reporting.
  • Review procurement activities including cost estimates and vendor invoicing.
  1. Facilities Oversight & Compliance
  • Conduct facility inspections to ensure compliance with safety, health, and environmental standards.
  • Identify opportunities for operational efficiency, system upgrades, and process improvements.
  • Act as the Sustainability Point of Contact (PIC), ensuring campus operations align with environmental and corporate standards.
  1. Project & Event Support
  • Support and coordinate on-site events, office fit-outs, and technology upgrades.
  • Play a central role in the management of both planned and emergency works to minimize disruption and maintain operational continuity.
Requirements
  • Bachelor’s degree preferred; combination of education and experience acceptable.
  • 3–4 years of experience in facilities or building operations.
  • Electrical system knowledge and facility management certifications are advantageous.
  • Strong leadership and interpersonal communication skills.
  • Proven ability to manage technical operations, vendors, and budgets effectively.
  • Excellent organizational skills and a proactive, problem-solving mindset.
  • Flexibility to provide on-call and after-hours support as needed.
