Chinese Media Group: Business Operations Executive

We are looking for a highly organised and proactive Business Operations Executive to coordinate and support the daily operations of the Chinese Media Group newsrooms and business functions. This role encompasses operational administration, billing and procurement coordination, order fulfilment and inventory management, as well as general business support to ensure all processes run smoothly and efficiently across the organisation.

This is a hands-on, execution-focused role ideal for a candidate who thrives in a fast-paced publishing environment and enjoys working across operations, finance coordination, and logistics.

Responsibilities

Operational& Financial Coordination
  • Coordinate daily newsroom and business operations, manage shared mailboxes, track requests and follow-up actions, and maintain management diaries and schedules.
  • Process and track payment requests, prepare invoices, and liaise with stakeholders to ensure timely billing and payment cycles.
  • Manage procurement activities, including sourcing, vendor coordination, and purchase requests.
Order Fulfilment & Inventory Management
  • Execute order fulfilment processes, monitor and manage stock levels, coordinate logistics for timely distribution, ensure accurate track and reporting of inventory and sales data along with yearly stock-taking procedures.
  • Support production coordination and ensure alignment with publishing schedules.
Event& Team Support
  • Assist with book launches and sales events, including on-site coordination, stock handling, and sales tracking.
  • Manage the operational aspects of staff onboarding and offboarding.
  • Provide operational and administrative support across teams and proactively identify opportunities for process improvements.
Contract& Records Management
  • Maintain and update the contract registry for authors, contributors, and vendors.
  • Ensure proper documentation, filing, and version control of agreements and records.
Qualifications & Skills
  • Bachelor’s degree or equivalent qualification in Business Administration, Management, or related field.
  • 3–5 years of experience in operations or business support.
  • Demonstrated experience in procurement, billing, order fulfilment, and inventory management.
  • Proficiency in office management software and publishing/financial system (preferred).
  • Strong organizational skills, including multitasking, managing multiple priorities and deadlines, and attention to detail and accuracy.
  • Excellent communication(written & verbal) and interpersonal skills.
  • Hands-on, proactive, and execution-focused mindset with strong planning, operational, and coordination skills.
  • Adaptable and solution-oriented problem-solving ability.
