What you'll do:
As an Office Manager based in Singapore, you will be responsible for creating a harmonious workplace where every detail is thoughtfully managed.- Maintain the switchboard by screening all incoming phone calls and keeping the telephone directory up to date so that communication flows smoothly throughout the office.
- Oversee daily administrative functions including courier services, mailing, ordering supplies, and managing pantry stocks to ensure an organised and well-equipped workspace.
- Arrange refreshments for meetings and seminars while managing meeting agendas and following up on open issues to facilitate productive gatherings.
- Order stationery, name cards, office supplies, and maintain tidiness in both office spaces and meeting rooms to create a welcoming environment for staff and visitors.
- Ensure timely input of invoice trackers and update company organisation chart flow boards so that records remain accurate and current.
- Set up workstations, lockers, designated seats for new joiners, prepare materials for board meetings, and coordinate gift baskets or wreaths for employee milestones or bereavements.
- Send EDM emails during festive seasons, create purchase orders (PO) on D365, receipt PO transactions, and coordinate planning for events such as townhalls, charity fundraisers, or year-end parties.
- Support business generation activities in Singapore by assisting with bids & proposals as well as providing final accounts printing support to project & cost management teams.
- Manage onboarding processes for new hires including exit clearance forms while overseeing company calendar movements and booking meeting rooms efficiently.
- Handle tenancy agreements including renewals and ongoing matters; ensure secure operations within an efficient work environment; perform ad-hoc duties as assigned.
