Position: Nursing Administrative Executive / Assistant (2 years Contract)
About the Role:We are looking for a detail-oriented and proactive Nursing Administrative Executive / Assistant to provide vital administrative support to the Nursing Department. The role ensures smooth operations by managing communications, coordinating resources, maintaining documentation, and supporting nurses and nursing leadership in delivering high-quality patient care.
Key Responsibilities:
Administrative Support- Serve as secretariat for department monthly combined meetings.
- Prepare certificates, awards, and meeting minutes for internal communications.
- Act as the point of contact for the hospital electronic messaging system.
- Order name cards and name stamps for nurses as required.
- Raise blanket purchase orders and coordinate vendor deliveries for ward beverages and biscuits.
- Manage and update Nursing email groupings.
- Raise and follow up on system access requests for new or transferred nurses.
- Maintain system approvers for all Nursing cost centres.
- Ensure proper documentation and organization of departmental records.
- Format, seek approval, and upload Nursing Department Plans, SOPs, HAPs, Procedure Manuals, and Ops Risk Assessment forms into the electronic Document Control System (e-DCS).
- Ensure timely reminders for document reviews and updates (at least every two years).
- Issue and collect access cards for docking stations securing ward iPhones.
- Maintain an accurate tracking system for issued equipment.
- Monitor and maintain stock levels of stationery, masks, and alcohol wipes.
- Procure necessary supplies following procurement policies.
- Provide administrative support for quality and innovation projects.
- Perform additional tasks assigned by Section Heads, Assistant/Deputy Directors of Nursing, or Chief Nurse.
Key Requirements:
- Diploma in Business Administration, Healthcare Administration, or related field.
- 1–2 years of administrative experience, preferably in healthcare.
- Strong organizational, time management, and multitasking skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office Suite and SharePoint.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent written and verbal communication skills.
- Able to work independently and collaboratively in a team.
