Role Overview
The Operations Manager is responsible for overseeing the day-to-day operational performance of multiple aesthetic outlets, ensuring service standards, operational efficiency, and team performance are consistently maintained.
You will work closely with outlet managers, therapists, and management to ensure smooth daily operations, strong customer experience, and operational compliance across all locations.
Key Responsibilities
Outlet Operations & Service Standards
Ensure consistent implementation of operational SOPs across all outlets.
Conduct regular outlet visits to monitor:
- Service standards and treatment protocols
- Staff grooming and professional conduct
- Cleanliness, hygiene, and operational readiness
- Equipment functionality and treatment room standards
Identify operational gaps and implement corrective actions where necessary.
Ensure proper documentation including consent forms and customer records are completed prior to treatments.
Multi-Outlet Coordination
Work closely with outlet managers to ensure smooth day-to-day operations across all locations.
Implement operational directives from senior management and ensure alignment across the organization.
Monitor appointment flow, service efficiency, and customer experience standards.
New Outlet Setup & Expansion
Project manage new outlet openings and operational setup including:
- Coordination with landlords, contractors, designers and vendors
- Overseeing renovation timelines and defect rectification
- Ensuring treatment equipment, POS systems and supplies are ready prior to launch
- Supporting staff onboarding and operational readiness for new outlets
Assist in organizing corporate campaigns and operational events when required.
Customer Experience & Service Recovery
Handle customer escalations and complaints professionally with timely resolution.
Guide outlet teams on escalation procedures and service recovery standards.
Review customer feedback including:
- Google reviews
- Customer feedback forms
- Service quality reports
Ensure service standards and customer satisfaction remain consistently high.
Sales Reporting & Operational Administration
Review operational reports including:
- Sales invoices and receipts
- Commission reports
- Unredeemed package reports
Coordinate operational reporting and submissions including:
- OT and time-off reports
- Outlet performance summaries
- Customer feedback reports
Approve operational requests including leave applications, outlet claims, and internal submissions.
Inventory & Procurement
Oversee inventory management for professional treatment products and retail stock across outlets.
Conduct monthly stock checks and coordinate supply replenishment.
Ensure accurate documentation including supplier invoices, stock receipts, and inventory records.
Manage procurement and vendor coordination when required.
Staff Operations & Team Support
Support outlet teams through proper onboarding and operational guidance.
Monitor manpower deployment and ensure adequate staffing coverage across outlets.
Assist in resolving staff operational issues and maintaining a positive team environment.
Ensure staff compliance with SOPs, attendance policies, and operational standards.
Facilities & Equipment Management
Conduct periodic facility checks across outlets.
Ensure treatment machines and equipment are properly maintained and operational.
Coordinate repair, servicing, and replacements when required.
Monitor operational systems and ensure accurate appointment checkout documentation.
Requirements
Minimum 1–3 years of operations management experience, preferably within aesthetics, beauty, healthcare, or premium retail industries.
Experience managing multi-outlet operations is highly preferred.
Strong leadership, organization, and operational problem-solving skills.
Ability to work independently while coordinating multiple teams and locations.
Proficiency in operational systems such as POS platforms, HR systems, Google Workspace, and Microsoft Office.
Strong communication skills with the ability to handle customer escalations professionally.
Working Hours
Monday to Friday10:00 AM – 7:00 PM
Flexibility may be required depending on operational needs.
