Brief:
Our Health and Beauty Division in Singapore is hiring! We are seeking a detail-oriented and proactive Sales & Operations Support Assistant to provide comprehensive support across sales and operations. This role is critical to ensure smooth order management, campaign execution and operational coordination, contributing to overall business efficiency and customer satisfaction.
Key Responsibilities:
Sales Support- Process orders, quotations, invoices and follow up with customers or suppliers.
- Compile and submit daily sales orders and returns to the Order Processing team.
- Track and follow up on outstanding orders to ensure timely delivery.
- Prepare and submit monthly retailer rebate reports by the 27th of each month.
- Maintain and update sales records, reports and forecasts.
- Provide sales data and performance insights to the Sales Team.
- Assist sales team in submitting monthly promotion planners to all channels on time.
- keep promotion/ spending trackers updated.
- Liaise with warehouse and logistics teams to monitor deliveries and returns.
- Align delivery schedules with customer orders, campaigns and promotions.
- Communicate stock shortages, delays or discrepancies to the Sales Team.
- Assist with picking and packing e-commerce orders when required.
- Organize returned stocks and update records (stock movement reports, courier tracking, receiving notes).
- Work with 3PL providers to resolve delivery issues or urgent shipments.
- Verify 3PL logistics invoices for submission by the 27th of each month.
- Support internal communication, documentation and filing across departments.
- Follow up on pending tasks with stakeholders to ensure deadlines are met.
- Provide administrative support to management and team members.
- Organize Point-of-Sale Materials (POSM) such as posters, wobblers, shelf talkers, and banners with vendors.
- Coordinate with sales and merchandising teams to ensure timely placement of POSM in stores or activation points.
- Maintain a centralized repository of marketing materials and templates for team access.
Requirements:
Education & Experience- Diploma or Degree in Business Administration, Marketing, or related field.
- 3–4 years of proven experience in business support or administrative roles.
- Proficiency in Microsoft Office / Google Workspace.
- Strong organizational and time-management skills.
- Excellent communication and coordination abilities.
- Detail-oriented, organized, and proactive in problem-solving.
- Able to work independently and collaboratively in a fast-paced environment.
- We operate fully on-site.
- Our working hours are 9am to 6pm, Mon to Fri and 10am to 12pm, Sat.
