Operations Executive (Logistics)

Role Overview
We are looking for a highly driven Operations Executive to take full ownership of daily logistics coordination, job tracking, and operational accuracy.
This role is critical to ensuring that every delivery, collection, and installation is executed on time, with zero errors and full visibility across the team.
You will act as the central control tower between warehouse, drivers, clients, and internal teams.
Key Responsibilities- Daily Logistics Operations Control
Plan, coordinate, and monitor all daily delivery and collection jobs
Ensure all jobs are properly scheduled, assigned, and executed on time
Track real-time job progress and proactively resolve delays/issues- Job Accuracy & System Updates
Ensure all jobs are accurately recorded in system (DO, CL, job details)
Enforce same-day updates for all completed jobs
Maintain clear documentation (photos, records, completion status)
Double-check job details to minimize operational errors- Issue Handling & Problem Solving
Act as first point of contact for operational issues (drivers, clients, warehouse)
Resolve issues quickly (missing items, delays, damages, access issues)
Escalate critical problems with solutions, not just problems- Team Coordination
Coordinate closely with drivers, warehouse team, and coordinators
Manage communication across WhatsApp groups and internal systems
Ensure all teams are aligned on daily schedules and requirements- Resource & Manpower Coordination
Coordinate part-timers, freelancers, and external support when required
Ensure manpower is sufficient and optimized for daily workload- Process & System Improvement
Identify inefficiencies and suggest improvements
Implement simple automation or AI tools to improve workflow
Continuously improve tracking, reporting, and communication systems- Reporting & Accountability
Track daily performance (on-time delivery, delays, issues)
Prepare simple daily/weekly operational reports
Maintain high standards of accountability and execution
Requirements- Minimum 1–2 years experience in logistics / operations / coordination role
- Experience in furniture logistics, moving, or delivery operations is a strong advantage
- Strong sense of urgency, responsibility, and ownership
- Able to handle pressure and solve problems quickly
- Good communication skills (English required, Mandarin a plus for ground team)
- Familiar with Google Sheets or online system tools
- Comfortable using WhatsApp, coordination tools, and digital systems
- Experience with automation / AI tools is a bonus
