Project Administrator | 6-month contract - Bukit Merah

As a key member of the PMO team, the role is responsible for operational coordination, resource onboarding and offboarding, project tooling support, and administrative functions. This role ensures smooth project execution through meticulous tracking, reporting, and stakeholder communication.

Project & Resource Tracking
  • Maintain and update the master roster file and resource tracker.
  • Keep track of project leave plans and manage updates accordingly.
Onboarding & Offboarding Support
  • Trigger roll-on emails to Delivery Leads once onboarding is confirmed.
  • Send emails and security clearance forms to new resources.
  • Verify clearance forms, follow up for corrections or incomplete submissions, and send reminders as needed.
  • Consolidate all completed clearance forms and send to the client.
  • Notify resources upon clearance approval and update clearance dates in the roster.
  • Handle employee ID creation for subcontractors.
  • Manage employment ID requests for new resources.
  • Trigger Offboarding emails and manage offboarding processes.
Tooling & Platform Support
  • Manage project and service management tools such as SharePoint and Microsoft Teams.
  • Raise and track purchase request/purchase order) and manage non-PO invoice payments.
  • Manage laptop requests and issues.
  • Book meeting rooms for project leads and requestors.
Reporting & Communications
  • Prepare and update weekly meeting slides.
  • Manage BD (Business Development) reports and coordinate related communications.
  • Maintain accurate and timely internal and external communications for project updates.
Job Qualifications
  • Diploma or Degree in Business Administration or equivalent.
  • With 2 or more years' experience in project administration and project management.
  • Able to prepare PowerPoint meeting decks for timely submission to client and project management.
  • Possess excellent work ethic and able to work well under pressure in a busy environment.
  • Support team members to meet the overall team objectives.
