Assistant Manager, Facilities Management (Healthcare)

Provide overall administrative oversight and support for FM departmental operations, ensuring accountability, timeliness, and compliance with internal requirements.
  • Coordinate administrative workflows, including document control, filing systems, shared information repositories, and record management.
  • Support the FM Head of Department in organising meetings, briefings, submissions, and preparation of reports, data analysis, and KPIs for management and regulatory reporting.
  • Act as the administrative point-of-contact for Integrated Hospital Asset Management (IHAM) matters, including coordination with relevant external stakeholders.
  • Process procurement requests, sourcing activities, service agreements, and ad-hoc administrative purchases as assigned.
  • Manage the timely processing of invoices, claims, payments, and billings for service providers.
  • Assist in budget administration activities such as annual budget submissions, accruals, expenditure tracking, and monitoring of CAPEX, OPEX, and MOHRR-funded projects and contracts.
  • Maintain and update departmental asset records, inventories, SOP master lists, and quality documentation.
  • Perform quality checks on incoming technical documents such as Operation & Maintenance manuals and as-built drawings.
  • Plan, coordinate, and provide administrative support for internal and external audits, including MOH licensing and inspections, ISO audits, IT/DP, FM CSA, and other regulatory or accreditation requirements.
  • Collaborate with the FM Contract Management team on managing agent matters, including staff compliance tracking, work orders, permits, licenses, claims, and contract-related administrative follow-ups.
Requirements
  • Bachelor’s degree in Facilities Management, Engineering, Business Management, or a related discipline.
  • At least 3 years of relevant administrative experience, preferably within the building, facilities, or infrastructure sector in large organisations.
  • Familiarity with procurement, contract administration, financial tracking, quality management, and facilities management processes.
  • Strong written and verbal communication skills, with the ability to coordinate across multiple stakeholders.
