Overview

We are seeking a dedicated and detail-oriented Executive Assistant to support our Insurance Broking team. The successful candidate will play a key role in policy administration, renewals, client servicing support, documentation management, and coordination with insurers to ensure efficient processing of insurance transactions.

Key Responsibilities

Policy Administration & Documentation
  • Prepare and issue quotations, cover notes, Certificates of Insurance, policy schedules, endorsement documents, and other insurance-related correspondence.
  • Ensure accurate and timely maintenance of policy records and client files.
  • Maintain proper documentation trails and electronic filing of all client and insurer correspondence.
  • Prepare and update insurance coverage summaries and policy information.
Renewals & Client Servicing Support
  • Manage policy renewal processes, including monitoring expiry dates, preparing renewal quotations, and following up with clients on renewal decisions.
  • Maintain and update renewal registers and policy status reports.
  • Assist Account Managers and Brokers in servicing existing client accounts.
  • Liaise with insurers and clients on policy amendments, endorsements, and policy enquiries.
Quotations & Insurer Coordination
  • Source and obtain quotations from insurers for new and renewal business.
  • Prepare and send quotations to clients promptly.
  • Follow up on outstanding quotations and renewal opportunities.
  • Transmit Submission Broking (SB) documents and ensure complete submission requirements are met.
Billing & Account Support
  • Prepare Statements of Account (SOA) and assist in premium collection follow-ups.
  • Support invoicing and billing administration.
  • Ensure premium transactions and related records are properly maintained.
Administrative Support
  • Prepare management reports, renewal statistics, and departmental records as required.
  • Support marketing initiatives and insurance proposal preparations.
  • Assist with ad-hoc administrative duties assigned by management.
Requirements
  • Experience handling renewals, quotations, SOA preparation, and insurer submissions will be advantageous.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • Meticulous, responsible, and attentive to details.
  • Good interpersonal and communication skills.
  • Ability to work independently as well as collaboratively within a team environment.
Preferred Qualifications
  • Certificate in General Insurance (CGI) or equivalent insurance qualification.
  • Prior experience in an insurance broking environment will be highly advantageous.
