Job Description

The Senior Executive supports the department's operations across finance administration, HR/academic administration, events and visits, and general office administration. You will help ensure smooth, timely, and compliant processes that enable faculty, staff, and students to focus on teaching, research, and collaborative activities.

• Finance: Process invoices, claims, reimbursements, POs, inter-billings, and vendor requests; maintain ancillary account records; handle remaining research WBS claims/billings; manage computer replacement budget and asset tagging; assist HoD with Concur.
• HR/Academic: Coordinate recruitment logistics; support onboarding/offboarding; manage Adjunct/Visiting Professor lifecycles; track MTAR timelines; provide backup for promotion/tenure matters and recruitment visits.
• Events: Plan and execute department events/visits; manage registrations and communications; coordinate speaker travel, honorarium, taxes, and claims; track budgets and compliance.
• General Admin: Liaise on MOUs/agreements; provide secretarial support; handle ad-hoc duties.

• Degree in any discipline
• Experience in coordination and events
• Strong organization and communication skills
• Proactive, collaborative, and able to work independently
