Facilities Executive
About the role
The Facilities Executive is responsible for managing and maintaining an organization’s physical facilities, ensuring smooth daily operations, and a safe, clean work environment. This includes overseeing building systems, coordinating maintenance, managing vendors, and handling emergency repairs.The role requires strong organizational, problem-solving, and communication skills to support operations and enhance the workplace experience.
What you will be doing
Facility Operations Management:
- Manage and supervise the overall facility operations, including maintenance, repairs, security, and janitorial services
- Conduct regular inspections to identify and address any maintenance or safety issues promptly
- Coordinate with external vendors and contractors for facility repairs, renovations, and equipment installations
- Supervise and provide guidance to facility staff, including maintenance technicians, cleaning and security team
Budgeting and Cost Control:
- Work with Warehouse & Logistics Manager to review and negotiate contracts with vendors and service providers to ensure cost-effectiveness and quality service delivery
- Identify cost-saving opportunities and implement measures to optimize facility expenses
Space Planning and Utilization:
- Collaborate with various teams to assess space requirements and plan for optimal space utilization
- Coordinate office relocations, furniture installations, and modifications to accommodate changing needs
- Ensure compliance with relevant building codes and regulations related to space utilisation and accessibility
Health and Safety Compliance:
- Work with Warehouse & Logistics Manager to develop and implement safety protocols and procedures to ensure a safe working environment for employees and visitors
- Stay up-to-date with local health and safety regulations and ensure compliance within the facility
Vendor Management:
- Work with Warehouse & Logistics Manager to identify and evaluate vendors for facility-related services and negotiate contracts to obtain competitive pricing and quality services
- Establish and maintain relationships with external vendors and contractors to ensure timely and cost-effective delivery of services, such as repairs, renovations and maintenance
- Monitor vendor performance, conduct periodic evaluations, and address any issues or concerns
Emergency Preparedness:
- Work with Fire Safety Manager to conduct fire drills
- Assist in coordinating with relevant authorities and stakeholders during emergencies or crisis situations
Others:
- Management of pest control
- Part of Company Emergency Response Team (CERT)
- Any other ad-hoc duties as assigned by Warehouse & Logistics Manager
- NiTec/Higher NiTec/Diploma in Facilities Management, Building, Electrical Engineering, Mechanical Engineering or equivalent with minimum 2 years relevant experience.
- Possess excellent organisation, communication, and critical thinking skills.
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
