Finance and Administrative Executive, Eagles Mediation and Counselling Centre (EMCC)
Eagles Mediation & Counselling Centre (EMCC) established in 1997, is one of the region’s foremost organisations that pioneered family mediation and training, and one of the few agencies with expertise to provide integrative services in mediation and psychotherapy.
EMCC has continued to evolve yet always endeavouring to be true to our vision of Bringing Hope and Restoration – to lost and hurting individuals, and broken relationships through our counselling and mediation services. On the upstream, EMCC actively develops prevention and early detection of psycho-emotional and relational problems.This includes training, public talks and workshops, in-company training, community outreach programmes, resource development, among others. These are aimed at empowering individuals through imparting and equipping of knowledge and self-help skills to effectively manage their interpersonal relationship challenges.
We advocate for destigmatisation of mental health and normalise seeking help through public campaigning.

Job Description
We are seeking a highly organised and detail-oriented Finance and Administrative Executive to manage financial records, oversee day-to-day administrative tasks, and support the smooth operation of our organisation. The ideal candidate will have relevant accounting skills and proficiency in QuickBooks Online, and the ability to handle administrative duties efficiently.The percentage split between Accounting and Administrative responsibilities is 30:70.
Responsibilities and Tasks
Administrative Support- Manage office operations, including procurement, vendor coordination, and facility maintenance.
- Organise meetings, schedule appointments, and maintain records for clients (Counselling, Mediation and Programmes).
- Handle correspondence, emails, and phone calls professionally.
- Maintain filing systems (digital and physical) for administrative documents.
- Assist HR with onboarding, employee records, and payroll coordination (if applicable).
- Render administrative support to Senior/Executive, Programmes with the liaison, billings, payment collection and on-site seminar administration.
- Maintain accurate financial records, including accounts payable/receivable, general ledger entries, and bank reconciliations.
- Maintain filing systems (digital and physical) for finance documents.
- Assist in budget preparation, financial forecasting, and expense tracking.
- Process invoices and reimbursements in a timely manner.
- Ensure compliance with accounting policies and regulatory requirements.
- Support audits and tax filings as needed.
- Support management with ad-hoc financial analysis and administrative tasks.
- Implement process improvements for efficiency in finance and admin workflows.
- Liaise with external stakeholders (banks, auditors, vendors)

Requirements:
- At least Diploma in Finance, Accounting, Business Administration, or related field.
- Experience: 2+ years in accounting, and strong in administrative roles.
- Technical Skills: Proficiency in MS Office (Excel, Word), accounting software (e.g., QuickBooks, SAP), and ERP systems.
- Soft Skills: Strong organisational, communication, and multitasking abilities.
- Proficient in Microsoft Office applications and setting up virtual meetings using the various platforms.
