SALES SUPPORT EXECUTIVE – ORDER FULFILMENT

Reporting to: Head of Sales & Marketing

Department: Sales

Job Summary:
This role is essential to ensuring smooth operations across sales administration, customer service, e-commerce fulfilment, and general office administration. The Sales Administration & Customer Service Executive will manage order fulfilment, logistics, customer inquiries, and warehouse coordination while supporting e-commerce and general administrative tasks as needed.

The ideal candidate will possess excellent organizational skills, a strong customer service orientation, and the ability to work both independently and collaboratively across teams.

Key Responsibilities:

Sales Administration & Customer Service Function
  • Oversee daily order fulfilment, including inventory management and logistics coordination.
  • Manage and coordinate delivery operations and delivery appointments with customers.
  • Handle daily delivery scheduling and assignments for the company’s logistics fleet.
  • Respond to customer inquiries and provide post-delivery support.
  • Process corporate sales orders and post sales and inventory adjustment entries as required.
  • Coordinate stock replenishment for both warehouse and retail locations.
  • Manage showroom display supply and track furniture on loan.
  • Collaborate closely with the retail and sales teams to support all sales-related matters.
  • Identify and implement process improvements, working with the technology team to enhance efficiency.
  • Perform all required filing and documentation for sales administration tasks.
  • Work independently with minimal supervision and meet assigned deadlines.
  • Identify areas for operational improvement and collaborate with the technology team to implement changes.
  • Complete assigned tasks independently, ensuring adherence to deadlines.
General Office Administration Function
  • Provide coverage for Sales Admin colleagues during absences.
  • Handle incoming phone calls and customer inquiries.
  • Perform data entry and manage digital filing systems.
  • Assist company directors with ad-hoc duties as assigned.

Qualifications and Skills:

  • Proven experience in sales administration, customer service, or a related field.
  • Strong coordination skills, especially for logistics and inventory management.
  • Familiarity with e-commerce platforms and order fulfilment processes.
  • Proficiency in data entry and managing digital filing systems.
  • Customer-oriented with excellent communication skills.
  • Ability to identify process improvements and work collaboratively with technical teams.
  • Self-motivated, detail-oriented, and capable of working with minimal supervision.

Preferred Experience:

  • 2+ years of experience in sales administration, customer service, or a similar role.
  • Prior experience with logistics coordination and e-commerce order management.
