Job Description

We are looking for a proactive and detail-oriented individual to join our team as a Program Operations Executive. In this role, you will work closely with the Program Manager to support day-to-day operations, manage customer accounts, and coordinate internal teams to ensure timely delivery of products and services.

Key Responsibilities
  • Customer Relationship Management
  • Build and maintain strong relationships with customers by identifying and assessing current and future needs
  • Ensure timely fulfillment of customer orders or provide prompt updates on schedule revisions
  • Liaise with internal departments to support on-time delivery
  • Respond promptly to all customer inquiries
  • Prepare reports, presentations, and proposals as required
  • Order Processing
  • Process and acknowledge sales orders
  • Coordinate with internal departments to ensure seamless order fulfillment
  • Prepare product samples, quotations, and price estimates in line with customer expectations
  • Create production and replacement work orders
  • Ensure timely billing and assist in overdue payment collection
  • Manage customer product content accurately
  • Material Planning
  • Raise purchase requisitions and plan material needs to meet production requirements
  • Monitor inventory levels for raw materials, WIP, and finished goods
  • Analyze order trends and provide forecast schedules to material planners
  • Partner & Vendor Coordination
  • Ensure service providers and vendors meet agreed timelines and pricing
  • Evaluate vendor performance and build strong relationships with reliable partners
  • Productivity & Innovation
  • Identify areas for improvement in workflow or operations
  • Propose and implement feasible initiatives to enhance effectiveness and efficiency
  • People Management & Administration
  • Prepare and regularly update key functional metrics
  • Guide and train junior Program Administrators (for Senior Executive level)
Requirements
  • Diploma/Degree in Business Administration, Supply Chain Management, or other related fields
  • 1–2 years of experience in an operations/supply chain environment (for Program Administrator)
  • 3–5 years of experience in an operations/supply chain environment (for Senior Program Administrator)
  • Good command of English, with the ability to communicate confidently in both written and spoken form
  • Proficiency in Mandarin to communicate with Mandarin-speaking clients/vendors
  • Strong interpersonal and presentation skills
  • Proactive, independent, and customer-oriented
  • Experience in the printing or packaging industry is an added advantage
  • Familiarity with MRP and SAP systems is a plus
