The Company
Our client is an award-winning 5-star luxury hotel in Singapore, renowned for exceptional hospitality and impeccable service standards. The hotel is seeking a Head of Purchasing to lead its procurement team in ensuring timely and cost-effective sourcing of high-quality products and services across all departments, including F&B, housekeeping, engineering, and guest services.
The Role
Reporting to the Director of Finance, the Head of Purchasing will manage the hotel’s purchasing operations in compliance with corporate policies and industry best practices. This role requires strategic sourcing, vendor management, contract negotiations, and cost optimisation, while maintaining the highest quality standards expected in luxury hospitality.
Key Accountabilities- Lead and manage the Purchasing Department, supervising 3 purchasing staff to meet the operational needs of all hotel departments.
- Develop and implement purchasing strategies to ensure timely supply of merchandise, capital goods, and services within budget and quality requirements.
- Oversee the procurement process, including planning, purchase requisitions, purchase orders, supplier selection, contract preparation, compliance with approval channels, meeting quality standards and specifications.
- Establish strong communication and collaboration with F&B, housekeeping, engineering and events teams to anticipate and fulfil purchasing needs.
- Source new suppliers for existing products and services or potential new products regularly and endeavour to obtain goods at a competitive price without sacrificing the desired quality standard.
- Negotiate competitive pricing, favourable business terms, and service-level agreements while safeguarding quality.
- Conduct regular supplier performance reviews, audits, and relationship management meetings to ensure reliability and quality consistency.
- Monitor perishable goods procurement for the kitchen, ensuring freshness, food safety, and compliance with HACCP standards.
- Implement quarterly cost reduction initiatives, conduct price comparisons, and optimise procurement processes for efficiency.
- Prepare contracts and ensure all contracts have proper signatures, adhere to legal requirements, and are monitored for expiry to avoid service disruptions.
- Maintain optimal stock levels in stores, preventing both shortages and overstock situations.
- Keep abreast of market trends, new products, and alternative suppliers to improve quality and cost-effectiveness.
- Drive sustainability initiatives in procurement, including sourcing eco-friendly products and supporting local suppliers where possible.
- Ensure adherence to corporate governance and ethical procurement standards.
- Prepare and manage the purchasing budget, providing regular reports to senior management.
- Undertake other procurement-related duties as assigned.
- Diploma/Degree in Supply Chain Management, Business Administration, Business or other related fields.
- Minimum 8 years’ experience in purchasing, with at least 3 years in a managerial role within luxury hotels or hospitality.
- Proven track record in strategic sourcing, vendor management, and contract negotiation.
- Strong industry supplier network, especially in F&B and hospitality-related products.
- High integrity, meticulous attention to detail, and a results-driven mindset.
- Excellent leadership, interpersonal, and communication skills.
- Proficient in procurement systems and Microsoft Office applications.
- Strong analytical and decision-making skills, with the ability to work in a fast-paced environment.
