Administrative Executive

We are seeking a conscientious, reliable, and highly organized Administrative Executive who is proactive, detail-oriented, and skilled in building positive working relationships. This role provides essential administrative and operational support to the Financial Advisory Manager.

The Administrative Executive serves as a trusted gatekeeper, ensuring that documentation, communication, and follow-ups are managed with exceptional accuracy and timeliness.

Responsibilities
  • Support the Manager/Adviser with assigned administrative and operational tasks, including:
  • Processing clients’ insurance and investment applications (both hardcopy and digital).
  • Following up with clients and insurers on underwriting memos, payments, and required documentation.
  • Consolidating clients’ insurance information and preparing insurance summaries.
  • Managing general customer service and administrative matters.
  • Review team documentation prior to submission to New Business.
  • Assist in preparing for Advisory Group Meetings and drafting meeting minutes.
  • Support recruitment-related documentation and administrative processes.

  • Excellent organizational and prioritization abilities.
  • Strong written and verbal communication skills.
  • High level of discretion, professionalism, and emotional maturity.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving skills and consistent follow-through.
  • Proficiency in Microsoft Office, Google Workspace, and digital task‑management tools.
Requirements
  • At least 2 years of experience as a Personal Assistant or Executive Assistant, preferably within financial services, insurance, or a regulated environment.
  • Familiarity with financial advisory operations and compliance requirements is an advantage.
