Executive, Clinical Operations
(Tengah General and Community Hospital)
Job Description:
- Provide full spectrum administrative and secretarial support to the clinical operations team including calendar management, scheduling, preparing reports, drafting correspondence, organizing records and files, answering queries, booking meetings, and supporting department projects.
- Provide dedicated administrative and operational support to the TGCH Patient Family and Advocacy Council (PFAC) including volunteer coordination and hosting, schedule management, event organisation, stakeholder communication and claims submission processing.
- Assist the project management office with administrative tasks including project documentation, timeline tracking, stakeholder communication, meeting coordination, and progress reporting to support effective project delivery and governance.
- Onboarding New Staff: Welcome new employees to clinical operations. Liase with program office and HR to schedule onboarding sessions to review company policies, benefits, systems training, and set up workspaces. Ensure new hires complete necessary paperwork and have access to required tools and accounts.
- Maintain inventory of department assets including office supplies, electronics, furniture, and equipment. Process orders, track shipments, and coordinate installation and maintenance. Manage check-in/check-out procedures.
- Assist with tracking of department expenditures and process invoices.
- Maintain department calendars if any, schedules, and shared resources. Schedule conference rooms and AV equipment.Organize and coordinate meetings, workshops and events related to hospital planning, with internal and external stakeholders to facilitate the smooth progression of planning activities. Prepare and distribute meeting agendas, minutes, and follow-up action items.
- Organize and coordinate local and overseas study visits for the clinical ops team including making travel arrangements, budgeting and preparing pre and post trip reports
- Any other tasks as assigned.
Job Requirements:
- Bachelor's degree in any discipline or a related field
- At least 3 years of experience in healthcare operations
- Ability to work in a fast paced and dynamic work environment, quick thinker and an effective problem solver.
- Ability to prioritise workload, be well organised and multi-task in a smart and timely fashion.
- Possess strong analytical, communication, written and presentation skills.
- Team-oriented with a high degree of initiative and independence.
- Strong interpersonal skills with the ability to build positive relations with different stakeholders.
- Proactive attitude and determination to ensure required outcomes are achieved and takes responsibility.
- Proficient in Microsoft Office applications.
