Working hours: 08.30am – 6.00pm (Monday to Thursday), 08.30am – 5.30pm (Friday)
Job Summary
We are seeking a meticulous and proactive Temporary Executive Assistant to provide comprehensive administrative and operational support to the Learning & Development (L&D) and Benefits teams within HR Group Shared Services. This role focuses on high-volume processing, documentation, and data accuracy to ensure timely delivery of HR services across the cluster.The position is ideal for detail-oriented individuals who can manage transactional tasks within established processes and timelines whilst maintaining confidentiality standards. The successful candidate will support critical HR operations including training programme coordination, leave administration, claims processing, and audit documentation.
Training and standard operating procedures will be provided.
Job Responsibilities
Learning & Development (L&D)
Training Programme Management:
- Coordinate end-to-end training programmes including participant registration, attendance tracking, and automated reminders
- Create and maintain course runs, update programme information, and manage comprehensive participant databases
- Maintain accurate L&D records, tracking files, and training databases in compliance with organisational standards
Financial and Vendor Management:
- Process training-related invoices, purchase orders, and systematically track payment status for external training vendors
- Support government-related training grant submissions including preparation of absentee payroll claims and supporting documentation
Data Management and System Administration:
- Prepare and validate data files for mass uploads into HR systems, including awards and long service recognition programmes
- Assist with sponsorship and scholarship administration including document verification, appointment scheduling, preparation of standard contracts, and record maintenance
Reporting and Compliance:
- Prepare comprehensive reports, summaries, and documentation for internal audits and management reviews
- Maintain audit trail documentation and ensure compliance with organisational policies
Leave & Benefits Administration
Leave Management:
- Support comprehensive leave administration including processing requests, conducting document completeness checks, and preparing system updates
- Manage government-paid leave processes including maternity, paternity, shared parental and childcare leave with accurate portal submissions
Benefits and Insurance Administration:
- Handle insurance administration including staff queries, claims submission processing, and approval tracking
- Coordinate claim documentation, manage insurer submissions, and maintain detailed case records
Regulatory Compliance:
- Compile and prepare detailed reports for leave audits, identify and highlight variances, and maintain organised audit trail documentation
- Maintain accurate records, e‑filing and document management on SharePoint and HR systems.
- Perform data entry and ensure high data accuracy across all HR processes.
- Assist in preparing PowerPoint slides, reports, and process documentation.
- Provide general team administrative support as required.
- Diploma in HR, Business or equivalent.
- Prior experience in HR operations, benefits administration, training coordination, or general administration is an advantage.
- Strong attention to detail and ability to manage high‑volume tasks.
- Proficient in Microsoft Office and comfortable with HR systems.
- Able to handle confidential information with professionalism.
- Good communication, coordination and organisational skills.
