Our client a manufacturer specializing in lubricant additives and related fine chemical products. The company develops and produces key additive components used in automotive, industrial, and marine lubricants, serving both domestic and international markets.
Position Summary:
We are seeking a detail-oriented Sales Operations Executive to manage end-to-end order fulfilment and ensure seamless coordination across sales, logistics, and finance functions. This role is responsible for aligning import schedules with demand forecasts, overseeing dispatch and delivery processes, and maintaining accurate documentation from order processing through to invoicing and collection.
The ideal candidate will act as a key liaison between internal teams and external partners, including logistics providers and back-office service vendors, ensuring smooth execution and timely delivery. With a strong focus on operational efficiency, the role also involves tracking performance metrics, resolving issues proactively, and driving continuous improvements to support scalable business growth in a B2B environment.
Responsibilities:
- Lead scheduling of imports and transfers, align quantities/dates with sales forecasts, validate shipping documents with import partners/external providers, and reconcile shipped vs. received.
- Plan and book dispatches with logistics partners, track deliveries through to proof-of-delivery, and resolve exceptions or claims.
- Process orders end-to-end — confirm terms, capture accurate data, maintain documentation, and follow through until invoicing and delivery.
- Translate sales pipeline into operational and inventory needs; flag risks of shortages or excess stock.
- Keep Sales, Finance (external back-office), logistics, and customers aligned so orders move without delay.
- Submit complete information for electronic invoices, share documents with customers, and follow up on overdue receivables.
- Provide confirmations, ETAs, delivery notices, and clear updates when plans change
- Anticipate risks, take corrective actions directly with partners, and document outcomes.
- Reporting & KPIs: Share a concise weekly status with GM, including orders, deliveries, KPIs (on-time delivery, AR overdue, issue resolution), and open issues.
- Continuous improvement: Identify bottlenecks, implement simple routines, and build scalable processes for growth.
Requirements:
- Bachelor’s degree in Business Administration, Logistics, Supply Chain, Industrial Engineering, International Trade, or Accounting.
- Equivalent practical experience may substitute for a degree.
- 3+ years of experience in sales operations, logistics coordination, or customer operations within a B2B environment, highly preferably in the chemical industry.
- Proven track record coordinating licensed import partners and external back- office providers (accounting, tax, payroll, electronic invoicing).
- Hands-on work with third-party logistics for warehousing and transport (dispatch planning, delivery confirmation, claims handling).
- Exposure to basic demand/inventory planning is a plus.
