Department Overview:
Our Stage business unit specializes in manufacturing high-precision stages (motion systems) for a diverse clientele across industries including semiconductors, solar, flat panel, hard disk, LED, printed circuit board, and additive manufacturing.
These stages are meticulously crafted assemblies comprising various components such as motors, encoders, bearings, structural parts, pneumatics, etc., meticulously assembled and qualified to meet comprehensive precision and throughput specifications.

Our business caters to both bespoke (built-to-spec) designs and catalog products, with a focus on high-mix, low-volume production and technically challenging products.

Job Summary:

The Manufacturing Admin is responsible for supporting manufacturing operations by ensuring accurate documentation, coordinating inventory, processing manufacturing orders, and maintaining essential records. This role requires strong attention to detail, organization, and communication to facilitate smooth production processes and compliance with company policies.

Key Responsibilities:

  1. BOM & Manufacturing Order (MO) Processing:
  • Create and close Manufacturing Orders (MO) and Transfer Orders (TO) from the Bill of Materials (BOM) before project initiation.
  • Ensure contingency BOMs are accurately entered into the system with the appropriate sub-assemblies.
  • Upload final BOMs to the company server for future reference.
  1. Serial Number & Label Management:
  • Assign and manage serial numbers at the start of projects to ensure system functionality.
  • Oversee the printing of labels required for packaging and shipping.
  1. Routing & MO Output Coordination:
  • Update routing hours for each project in the system based on smartsheet data.
  • Track and calculate total project hours and collaborate with supervisors for distribution into sub-assemblies.
  • Ensure MO routing data is accurately copied into an excel file before finalizing entries.
  1. Project Closure & Data Management:
  • Ensure JDM stock is properly accounted for in system updates.
  • Assist engineers with TO/SAF completion and verification of item ledger balances.
  • Scan and store project-related data in the designated output folder.
  1. Cable MO & Cabling Coordination:
  • Manage MO output for cable-related components.
  • Address issues related to BOM changes after MO-TO processing.
  • Ensure cable MOs are initiated at the project start with assigned promise dates.
  1. Inventory Management:
  • Perform bi-weekly checks on MFG stock inventory and coordinate urgent purchases.
  • Work with assembly teams to ensure inventory feedback and restocking requirements are met.
  • Oversee JDM stock inventory and coordinate with responsible personnel for purchasing decisions.
  • Maintain MFG miscellaneous inventory, including print labels, grease, and cable ties.
  1. Administrative Support & Reporting:
  • Process and submit OT forms for supervisor approval.
  • Manage item transfers, including reverse MOs and direct transfers.
  • Assist with rework and revision transfers, ensuring comments and approvals are documented.
  • Facilitate smooth communication between production teams, engineers, and finance as needed.
  1. Assist in other related duties assigned by Manager as and when necessary.

This role is critical in ensuring the efficiency of manufacturing operations by maintaining accurate records, facilitating smooth workflows, and supporting the production team with necessary administrative tasks.

Qualifications:

  • Diploma or Degree in Business Administration, Manufacturing, or a related field.
  • High School Diploma or equivalent; advanced technical or vocational training required. An associate degree or higher in a related field is preferred.

Skillset(s) Requirements:

  • Experience in a manufacturing environment, preferably in administrative or coordination roles.
  • Proficiency in Microsoft Office (Excel, Word) and ERP/MRP systems.
  • Strong organizational and multitasking skills.
  • Excellent communication skills for coordinating across departments.
  • Ability to work under tight deadlines and manage multiples priorities.

Work Environment:

  • Office-based with regular interaction with production and inventory teams.
  • May require occasional visits to the shop floor for stock checks and coordination.
  • Work is performed in a high-precision manufacturing or laboratory environment.
  • Use of personal protective equipment (PPE) as required.
  • Potential exposure to loud noises, dust, and chemical fumes.

Physical Requirements:

  • Ability to sit or stand for extended periods, often in a fixed position.
  • Excellent hand-eye coordination and manual dexterity.

Additional Requirements:

  • Willingness to undergo continuous improvement and stay updated with the latest changes in operation.
  • Flexibility to work overtime or shift hours if required.
