Location: Seatrium Shipyard, Singapore
Key Responsibilities- Manage daily office operations including filing, documentation control, and correspondence.
- Maintain and update project records, staff attendance, and timesheets.
- Coordinate logistics for site personnel including access passes, accommodations, and transport arrangements.
- Assist in procurement and inventory management of office supplies and project materials.
- Support project reporting, meeting scheduling, and preparation of minutes.
- Coordinate communication between site personnel, vendors, and head office.
- Handle invoice tracking, petty cash, and basic expense reporting.
- Ensure compliance with company policies, HSSE (Health, Safety, Security & Environment) standards, and site regulations.
- Provide general administrative support to the Project Manager and site team as required.
- Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
- Minimum 3–5 years of administrative experience in a shipyard, marine, oil & gas, or construction project environment.
- Strong organizational and coordination skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Good communication skills in English, both written and verbal.
- Ability to work independently under limited supervision in a fast-paced project site.
- Familiar with site office operations, documentation control, and logistics coordination.
- Must be currently based in Singapore or legally eligible to work in Singapore.
