Location: Seatrium Shipyard, Singapore

Key Responsibilities
  • Manage daily office operations including filing, documentation control, and correspondence.
  • Maintain and update project records, staff attendance, and timesheets.
  • Coordinate logistics for site personnel including access passes, accommodations, and transport arrangements.
  • Assist in procurement and inventory management of office supplies and project materials.
  • Support project reporting, meeting scheduling, and preparation of minutes.
  • Coordinate communication between site personnel, vendors, and head office.
  • Handle invoice tracking, petty cash, and basic expense reporting.
  • Ensure compliance with company policies, HSSE (Health, Safety, Security & Environment) standards, and site regulations.
  • Provide general administrative support to the Project Manager and site team as required.
Qualifications & Requirements
  • Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum 3–5 years of administrative experience in a shipyard, marine, oil & gas, or construction project environment.
  • Strong organizational and coordination skills with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Good communication skills in English, both written and verbal.
  • Ability to work independently under limited supervision in a fast-paced project site.
  • Familiar with site office operations, documentation control, and logistics coordination.
  • Must be currently based in Singapore or legally eligible to work in Singapore.
