The Role
The Facilities Administration Executive is responsible for supporting the efficient management of facilities operations across DFI Singapore office and stores, ensuring maintenance activities, administrative processes, and compliance requirements are effectively coordinated.The role work closely with internal stakeholders, landlords and service providers to uphold operational standards, maintain a safe and functional workplace, and support business continuity.
KEY RESPONSIBILITIES- Oversee daily operations of building facilities and M&E equipment across offices/warehouses to ensure a safe and functional environment
- Maintain and update accurate asset and equipment inventory records
- Manage administrative tasks (e.g. iPOS, capex forms, invoice consolidation and facility documentation)
- Prepare ISO documents for internal audits and ensure all certificates and licenses are current
- Coordinate and supervise routine maintenance, repairs and user requests related to maintenance, asset acquisition and disposal
- Liaise with service providers (e.g., CityFM) to extract service reports and coordinate planned maintenance
- Ensure compliance with corporate policies, standards, and procedures
- Address stakeholder feedback and complaints promptly, maintaining good working relationships with internal teams and external partners
- Support soft services operations, including stakeholder and landlord engagement
- Assist in preparing and managing OPEX & CAPEX budgets, and provide monthly service fee updates
- Manage procurement processes, vendor contracts, and monitor vendor performance
- Handle SAP PO creation, approvals, invoice processing, and goods receipt
- Track deferred and Out-of-Contract (OOC) jobs and provide recommendations for approvals
- Manage compliance-related communications and documentation (e.g., permits, fire certificates, utilities)
- Support insurance claims investigations and related documentation
- Assist in store handover and closure processes
- Any other ad-hoc duties as and when assigned
- Tertiary education with relevant working experience in facilities, administration, property or building maintenance coordination.
- Experience in handling administrative processes such as purchase orders, invoice processing, and documentation management.
- Hands-on familiarity in expense tracking and budgeting support, and procurement processes.
- Strong coordination, communication and stakeholder management skills, with the ability to work with internal teams and external vendors.
- Good problem-solving skills with the ability to respond promptly to maintenance issues, feedback and operational needs.
- Proficient in Microsoft Office applications, especially in Excel, Word, and PowerPoint.
- Meticulous, organised and able to manage multiple tasks in a fast-paced environment.
- A proactive team play with a service-oriented mindset.
