Key Responsibilities
  • Document Management: Create, organize, and maintain a comprehensive document control system for all project-related documents, including drawings, specifications, contracts, reports, and correspondence.
  • Compliance and Quality Control: Ensure all documents adhere to project requirements, industry standards, and regulatory guidelines, including those set by Singapore government authorities.
  • Version Control: Track and manage document revisions, ensuring the latest versions are accessible to relevant stakeholders and obsolete versions are archived appropriately.
  • Distribution and Access: Facilitate the timely distribution of documents to project teams, contractors, and clients, while maintaining confidentiality and restricted access as required.
  • Electronic and Physical Filing: Manage both digital and hard-copy document repositories, utilizing document management software and ensuring proper storage and retrieval processes.
  • Collaboration: Work closely with project managers, engineers, and other departments to ensure seamless communication and documentation flow throughout the project lifecycle.
  • Audit and Reporting: Conduct regular audits of documentation processes to ensure compliance and prepare reports on document status for project reviews and client submissions.
  • Training and Support: Provide guidance to project team members on document control procedures and the use of document management systems.
  • Risk Mitigation: Identify and address potential documentation risks, such as missing or incomplete records, to support project delivery timelines and quality standards.
Qualifications and Requirements
  • Education: Diploma or Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
  • Experience: Minimum of 3-5 years of experience as a Document Controller, preferably in construction, engineering, or fire protection projects. Experience with government projects in Singapore is a strong advantage.
  • Technical Skills:
  • Proficiency in document management software (e.g., Aconex, Procore, SharePoint, or similar).
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with CAD drawings and technical documentation is a plus.
