Job Overview
We are seeking a proactive and organised individual to join our Events Department. The incumbent will support the planning and execution of events and projects, including event operations, vendor coordination, logistics, and procurement support.The role involves working closely with internal stakeholders, partners, and working committees to ensure the smooth delivery of programmes and events, while contributing to operational coordination across multiple projects within the department.
Responsibilities:
- Plan and execute events and projects independently and/or as part of a team, including budgeting, timeline management, and vendor coordination.
- Collaborate with internal stakeholders and partners to support event preparation and on-site operations.
- Provide logistical support across projects within the Events Department, including coordination of vendors and equipment.
- Coordinate procurement for events and projects within the department, including vendor sourcing and purchase coordination in accordance with organisational guidelines.
- Provide secretariat support to working committees, including meeting coordination, documentation, and follow-ups.
- Support risk assessment, contingency planning, and on-site issue resolution during events.
- Other ad-hoc duties as assigned by supervisor.
Requirements:
- Possess at least a Diploma in Events Management, Hospitality, Business, or a related discipline.
- Minimum 1–2 years of relevant experience in event management or project coordination preferred; candidates with more experience may be considered for a senior position. Fresh graduates may apply too.
- Proficient in both English and Mandarin (spoken and written) to facilitate collaboration with Mandarin-speaking partner organisations and community groups.
- Strong organisational and coordination skills, with the ability to manage multiple projects concurrently.
- Proactive, resourceful, and able to work both independently and collaboratively within a team.
- Strong interpersonal and stakeholder management skills.
- Able to work under tight timelines and manage on-site event demands.
- Willing to work on weekends and outside of regular hours, when required.
