Role Overview
We are seeking a highly organised, resourceful, and discreet Executive Assistant to provide comprehensive administrative and operational support to the company’s senior executive. This role requires excellent judgment, exceptional coordination skills, and the ability to manage complex tasks in a fast-paced environment.
The ideal candidate is a proactive problem-solver who can anticipate needs, communicate effectively across levels, and handle confidential information with the utmost professionalism.
Key Responsibilities- Serve as the primary liaison and point of contact for the senior executive, managing calendars, meetings, and correspondence.
- Prepare and refine executive-level materials such as reports, presentations, and communications.
- Coordinate high-level meetings, board sessions, and business events, ensuring all logistics, agendas, and follow-ups are handled seamlessly.
- Arrange travel schedules, itineraries, and expense claims with accuracy and timeliness.
- Interface with internal departments and external stakeholders (including investors, partners, and clients) on behalf of the executive.
- Maintain a high level of confidentiality and discretion in all matters.
- Support special projects and assist with research, documentation, and data consolidation for decision-making.
- Streamline administrative processes and contribute to improving executive productivity.
- Diploma or Degree in Business Administration, Management, or a related discipline.
- Minimum 3–5 years of experience as an Executive Assistant or Personal Assistant supporting senior leadership.
- Excellent communication and interpersonal skills, with fluency in English; proficiency in Mandarin will be an advantage.
- Highly organised, detail-oriented, and able to prioritise multiple tasks effectively.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Professional discretion and ability to handle sensitive information with integrity.
