[ref. n16158821] Ad Operations Executive - Toa Payoh
Havas Media Singapore is looking for an Ad Operations Executive to support our Digital Operations Lead in the areas of finance operations, resource management, project management, and management of data functions.
The Digital Operations team’s scope of work is integral to the success of the day-to-day operations of the wider Digital Media function within the Group.
While primarily focused on finance operations, resource, project, and data function management, this role will also offer you a chance to understand advertising operations in broad strokes, and the opportunity to work alongside internal client servicing/media planning, finance and data & analytics teams that have experience in managing channels and platforms such as Campaign Manager, Display Video 360, Meta Ads Manager, Google Ads, Funnel.io, Google Data Studio, Power BI, etc.
Main responsibilities:
Finance Operations:
- Assist in the reconciliation of media buys and vendor invoices to ensure all financial records are accurate and complete.
- Coordinate with front office teams (e.g., media planning and buying) to gather necessary information and resolve discrepancies.
- Perform manual data entry and maintain accurate records of reconciliation activities.
- Track the status of outstanding invoices and follow up on missing or incorrect data.
- Prepare and organize documentation required for timely billing and internal reporting.
- Support the finance team during month-end close by ensuring all reconciliations are completed and documented.
- Maintain logs and trackers to monitor reconciliation progress and outstanding issues.
Campaign Operations:
- Collaborate closely with the Digital Operations Lead to oversee the Centre of Excellence (CoE) team for Ad Operations, ensuring high-quality output through consistent monitoring, guidance, and performance management. Drive the alignment and integration of global and local processes to enhance operational efficiency and workflow consistency.
- Coordinate and deliver detailed briefings to internal teams on digital campaign setup requirements, ensuring clear communication of client objectives, creatives, tagging specifications, and reporting expectations.
- Oversee daily task distribution and reallocation to optimize workflow efficiency, while supporting the onboarding process by guiding new hires through established agency procedures and documentation.
- Basic data cleaning
- Support the management of project timelines and deliverables for agency wide dashboarding exercises
- Support Data & Analytics team in backend data functions on Funnel.io, Google Data Studio, and Power BI – on backend configuration of data sources, building functional dashboards, managing timelines for deliverables
- Implement vanity changes on internal dashboards using Funnel.io, Google Data Studio, and Power BI
- Troubleshoot with internal teams to ensure that dashboard data are accurate
- Liaise with internal stakeholders to ensure alignment on all existing and new processes related to data
- Prior data analytics experience is not required.
Requirements for this role:
- Tertiary education in marketing, communications, or other relevant disciplines
- Competency in MS Office, pivot tables (particularly Excel)
- Good with numbers
- Basic understanding of data
