The role involves a steep learning curve, requiring a proactive approach and a strong commitment to acquiring proficiency in areas such as interpersonal communication, cultural sensitivity, student support and advising, operational planning, and program assessment, evaluation, and research.

Job Description

As a member of the Student Affairs team, the Executive will contribute to the following key areas:

  • Student Support: Provide direct support to students, particularly concerning financial aid, residential matters, academic progress, and psychosocial well-being. This involves understanding and addressing the diverse needs of students to foster a positive and inclusive learning environment.
  • Resilience and Wellness Programs: Participate in the complete lifecycle of wellness program development, including design, implementation, operational logistics, and safety protocols. This includes collaborating with the Student Affairs team on wellness initiatives and partnering with the Student Council and student body on community service projects and Special Interest Group activities. These programs are crucial for promoting student well-being, which is a core function of Student Affairs in our university setting.
  • Personal and Professional Development: Provide administrative support for mentoring programs, such as the school’s leadership program, advisory college system, and assist with career advising activities. This also includes coordinating individual development plans for students throughout their four-year academic journey. Student Affairs professionals play a key role in facilitating student growth beyond the classroom.
  • These responsibilities are supported by two critical functions that the candidate will focus on:
  • Financial Management: Administer financial claims and manage budgets accurately, efficiently, and in compliance with established procedures.
  • Data Management: Maintain and manage databases, ensuring data validity and integrity. Generate accurate and timely reports for the department and the medical school. This is essential for effective decision-making and program evaluation within Student Affairs.

The successful candidate will demonstrate adaptability and a capacity for independent learning, as the field of medical education is dynamic and evolving. Therefore, job responsibilities may change over time, and the role is not limited to the tasks outlined above.

Job Requirements
  • A Bachelor’s Degree or equivalent in any discipline, with a minimum of 2 years of relevant work experience.
  • Entry-level candidates or Diploma holders with at least 5 years of relevant experience may also be considered.
  • Prior work experience in an academic environment
  • Experience in youth development, project management, event organization, training/group presentations, and community service-learning initiatives is highly desirable. These experiences align with the diverse programming often offered by Student Affairs.
  • Excellent command of the English language, both written and verbal, and strong interpersonal skills.
  • Given the emphasis on Financial and Data Management, the following skills will be prioritized:
  • Advanced proficiency in Microsoft Office applications, with a focus on Excel and PowerBI. Excel skills should include the ability to create and apply formulas for data filtering, calculations, lookups, and pivot tables. PowerBI skills should include the ability to develop informative dashboards from data spreadsheets. Training will be provided as needed; however, the candidate is expected to be proactive in self-learning and seeking assistance from senior staff.
  • Demonstrated ability to innovate and utilize AI tools such as Microsoft Co-Pilot and NUS-Know for data management and to develop prompts for problem-solving within Student Affairs.
  • Strong attention to detail, excellent organizational skills, and proven efficiency in financial management and budgetary control.
