Purchasing Executive
The Purchasing Executive is responsible for executing daily procurement activities to ensure timely and cost-effective purchasing of materials, maintaining optimal inventory levels, and supporting shipment/export operations. The role requires strong coordination skills, accuracy, and effective communication with suppliers and internal teams.
Key Responsibilities:
Procurement & Purchasing Operations
Plan, source, and execute daily purchasing activities to meet operational requirements.
Prepare and process Purchase Orders (POs) in accordance with company policies.
Coordinate with suppliers on pricing, lead time, product specifications, and delivery schedules.
Monitor order status and follow up closely to ensure timely delivery of materials.
Supplier & Internal Coordination
Work closely with suppliers, internal operations, and warehouse teams to ensure orders are fulfilled accurately, in the right quantities, and to the required quality standards.
Resolve delivery discrepancies, product issues, or delays in coordination with the relevant parties.
Inventory Control & Documentation
Update and maintain inventory levels to ensure stock sufficiency and avoid shortages or overstocking.
Maintain and update purchasing documents, vendor records, and filing systems.
Assist in export, shipping documentation, and logistics coordination as required.
Other Duties
Support continuous improvement initiatives within the procurement process.
Perform any other tasks assigned from time to time.- Technical Skills Required
Knowledge of procurement processes, inventory control, and supply chain workflows.
Proficiency in ERP systems (experience in Baan is an advantage but not required).
Basic understanding of export and shipping documentation.
Strong MS Excel skills for tracking, reporting, and analysis.- Functional & Essentials Skills
Communication: Strong communication and negotiation skills with suppliers.
Attention to Detail: Accuracy in documentation, PO preparation, and stock records.
Problem Solving: Ability to resolve delivery issues, delays, and discrepancies.
Teamwork: Able to work collaboratively with internal departments.
- Qualifications:
Diploma in Engineering, Supply Chain Management, or related field.
Minimum 2 years of relevant purchasing experience preferred.
