Administrative Assistant – Project Management & Cluster Team

We are seeking a highly organized and proactive Administrative Assistant to support our Project Management and Cluster team. The ideal candidate will play a vital role in ensuring the smooth operation of project and cluster activities by coordinating schedules, managing communications, and providing administrative support.
This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
KEY RESPONSIBILITIES- Coordinate and schedule meetings, appointments, and project timelines to ensure timely completion of tasks.
- Prepare cluster meeting agendas, record and distribute minutes and ensure smooth communication and execution of meetings.
- Assist in preparing project documentation, reports, and presentations.
- Manage and maintain project calendars, tracking key deadlines and milestones.
- Facilitate communication between team members, stakeholders, and clients.
- Prepare, review, and distribute project-related correspondence and documentation.
- Organize and maintain project files, databases, and records for easy retrieval.
- Support project teams with administrative tasks such as data entry, invoicing, and procurement.
- Assist in tracking project progress and updating project management tools.
- Handle travel arrangements and logistics for project team members if required.
- Perform general office duties to support the efficiency of the project management team.
- Coordinate and consolidate ad hoc business development-related RFP documents into compliant and professional manner for submission.
- Proven experience as an Administrative Assistant or in a similar role, preferably within a project management environment.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
- Ability to coordinate and prioritize multiple tasks effectively.
- Attention to detail and problem-solving skills.
- High school diploma or equivalent; Associate’s or Bachelor’s degree is a plus.
- Ability to work independently and as part of a team.
