About the Role

We are looking for a reliable and detail-oriented Admin Assistant to support our daily operations. This role involves handling invoicing, coordinating with the warehouse on stock and deliveries, and ensuring smooth administrative processes. The ideal candidate is organized, proactive, and able to communicate effectively in both English and Chinese.

What You’ll Be Doing
  • Prepare and issue invoices accurately and in a timely manner
  • Coordinate with the warehouse team on stock availability, packing, and delivery schedules
  • Monitor and update order status to ensure smooth fulfilment
  • Handle basic administrative duties including data entry, filing, and documentation
  • Communicate with internal teams and customers regarding order and delivery matters
  • Maintain proper records of transactions, inventory, and delivery details
  • Support the team with ad-hoc administrative tasks when required
What We’re Looking For
  • Proficient in both written and spoken English and Chinese (to liaise with Chinese-speaking stakeholders)
  • Basic knowledge of Microsoft Excel and Word
  • Strong attention to detail and good organizational skills
  • Ability to multitask and work efficiently in a fast-paced environment
  • Responsible, proactive, and able to work independently
  • Good communication and coordination skills
  • Prior administrative or coordination experience is an advantage
