About Us:
We are a growing Singapore-based comapny engaged in the trading of commodities (Majorly Bulk shipment for Energy and Container shipments for Agro and Metals) with strong networks across global suppliers and buyers. We are seeking a proactive and detail-oriented Senior Operations Executive to handle daily business operations, contract negotiation, logistics, documentation, issuance & negotiation of Letter of Credit, coordinate with banks for seamless import-export processes.
Job Summary:
The Senior Operations Executive will be responsible for the smooth and efficient running of all operational aspects of the trading firm. This includes managing contract negotitaion, shipping documents, coordinating with financial institutions, overseeing import/export compliance, and supporting the company’s trading and logistics functions and most important part of execution of Letter of Credit.You will play a key role in ensuring timely execution of trade transactions and banking documentation.
Key Responsibilities:
- Daily Operations Management
- Oversee day-to-day trading operations and ensure seamless execution of orders.
- Coordinate with internal teams, suppliers, and logistics partners.
- Manage inventory tracking, delivery schedules, and port clearances.
- Import & Export Documentation
- Prepare and negotiate the contracts with counterparties based on the deal confirmation submitted by the trader till the entire execution of the trade including settlement of laytime calculations.
- Handle all documentation for international shipments (e.g., bill of lading, commercial invoices, packing lists, LC documents, COO, etc.).
- Liaise with freight forwarders, shipping lines, vessel operators and customs/shipping agents.
- Liaise with the accounting department to reconcile trade-related financial transactions.
- Banking & Financial Coordination
- Coordinate with banks for issuance and negotiation of Letters of Credit (LCs), Bank Guarantees, and other trade finance instruments.
- Prepare and submit documents required for remittances, collections, and financing.
- Monitor currency exchanges, payment schedules, and trade finance timelines.
- Process Improvement
- Streamline operations to improve efficiency and reduce costs.
- Develop SOPs for key operational tasks and update them regularly.
- Stakeholder Management
- Maintain strong relationships with vendors, customers, financial institutions, and regulatory bodies.
- Act as the main point of contact for banks, insurers, and logistic providers.
- Effectively communicate with all parties to ensure smooth and efficient operations.
- Address and resolve any operational issues or discrepancies promptly and professionally.
Qualifications & Experience:
- Degree in Business, Supply Chain Management, International Trade, or related field.
- Minimum 5-7 years of experience in operations, preferably in commodity or international trading.
- Strong understanding of trade documentation, LC procedures, and customs regulations.
- Familiarity with Singapore’s banking practices.
- Very good understanding of the trading risk and limit monitoring and management.
- Excellent communication, negotiation, and problem-solving skills.
- Proficiency in Microsoft Office and ERP/trade platforms.
- Excellent organizational and time-management skills with a strong attention to detail and accuracy.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Familiarity with shipping and logistics processes.
