Administrative Executive / Secretary (F&B Operations)

We are looking for a highly organized and proactive Administrative Executive / Secretary to support the day-to-day operations of a fast-growing F&B business.
This role works directly with the management and plays a key part in ensuring smooth coordination across operations, staff, and administration.
Key Responsibilities- Manage daily schedules, appointments, and reminders for management
- Handle emails, WhatsApp communication, and internal coordination
- Liaise with staff, suppliers, and external partners
- Assist with HR-related admin (staff records, simple documentation, onboarding support)
- Support basic accounting/admin tasks (invoices, tracking, filing)
- Ensure proper documentation and filing systems are maintained
- Follow up on tasks to ensure nothing is missed or delayed
- Highly organized and detail-oriented
- Able to multitask and prioritize in a fast-paced environment
- Strong communication skills (written and verbal)
- Proactive mindset — able to anticipate needs and take initiative
- Reliable and trustworthy with confidential information
- Comfortable working closely with business owner and team
- Prior admin / secretary / operations experience preferred
- Experience in F&B or retail operations
- Familiarity with HR/admin processes in Singapore
- Basic knowledge of Microsoft Office / Google Workspace
- Fast-paced and dynamic F&B setting
- Opportunity to work closely with leadership
- Hands-on exposure to multiple aspects of business operations
